This role serves as the primary point of contact for customers in the service department, ensuring exceptional customer interactions and accurately identifying the service requirements for vehicles.

Responsibilities
  • Foster and maintain relationships with all current and prospective clients.
  • Address customer inquiries and concerns or escalate to management as necessary.
  • Organize and prepare for upcoming appointments scheduled for the following day.
  • Utilize the Xtime center for setting and managing service appointments.
  • Respond to service calls and ensure timely follow-ups.
  • Stay informed about monthly promotions, current service offerings, and vendor services.
  • Maintain accurate service files and ensure proper documentation before final processing.
  • Discuss alternative transportation options with customers as needed.
  • Welcome customers, verify their information and vehicle details, and retrieve service history.
  • Process vehicles dropped off after hours and those towed in.
  • Prepare vehicles for pickup and delivery, adhering to established procedures.
  • Encourage the sale of labor, parts, and accessories to meet customer needs.
  • Provide customers with precise estimates and completion timelines.
  • Obtain customer signatures on repair orders and document payment details.
  • Monitor the progress of repair orders throughout the day and keep customers updated.
  • Review repair orders for accuracy in billing and coding.
  • Ensure quality control standards are met and vehicles are cleaned before customer notification.
  • Follow up on aging repair orders and report to management on those open for an extended period.
  • Maintain a customer satisfaction score above the national average.
  • Capture valid customer emails to enhance customer satisfaction initiatives.
  • Establish a follow-up system for special orders or future repairs.
  • Keep the office organized and compliant with dealership standards.
  • Ensure all customer areas are well-maintained and stocked with necessary amenities.
  • Process payments using major credit cards.
  • Stay current with industry certifications and continuing education requirements.
  • Maintain compliance with dealership training modules in a timely manner.
  • Present a professional appearance and adhere to uniform standards.
  • Exhibit professional conduct while in uniform, reflecting positively on the dealership.
  • Collaborate effectively with all dealership personnel.


Qualifications
  • High school diploma or equivalent (GED).
  • Minimum of three years' experience in service writing at a high-end dealership.
  • Proficient in reading, writing, and spelling for effective communication.
  • Ability to present information clearly and respond to inquiries from various stakeholders.
  • Strong numerical skills for calculating discounts, taxes, and percentages.
  • Ability to follow instructions and manage customer situations with common sense.
  • Creative problem-solving skills for addressing customer issues.
  • Valid Driver's License.
