Job Overview

We are currently seeking a qualified candidate for the Revenue Cycle Coordinator position. This role reports directly to the Chief Financial Officer and is classified as a Regular, Full Time, Non-Exempt position with a competitive hourly rate of $28.62 and comprehensive benefits. This position requires 100% onsite presence during standard working hours.

Primary Responsibilities:

The Revenue Cycle Coordinator will be responsible for accurately entering and coding patient services into our practice management system while ensuring the billing process is reconciled effectively. Key duties include:

  1. Verifying encounter data for accuracy and completeness, obtaining any missing information from providers as necessary.
  2. Assigning codes for procedures and diagnoses, and entering charge information into the practice management system.
  3. Maintaining a manual tracking system for non-computer-generated encounters.
  4. Identifying and reporting data errors to management on a weekly basis.
  5. Providing constructive feedback to providers and front-end staff regarding data discrepancies.
  6. Assisting with coding and resolving errors, including conducting reviews with providers on coding guidelines.
  7. Addressing patient billing inquiries via phone and assisting in the Credit and Podiatry Office.
  8. Researching and rectifying claim denials and rejections, and appealing as necessary.
  9. Monitoring payer reimbursements and identifying changes in reimbursement trends.
  10. Conducting collections on outstanding accounts through patient communication.
  11. Responding to payer correspondence and following up on information requests.
  12. Performing periodic audits of medical records to ensure consistency with billing.
  13. Overseeing claim submissions to third-party payers and processing payments.
  14. Preparing daily batches for uploads and performing reconciliations to ensure accuracy.
  15. Monitoring charges to ensure correct payment of claims.
  16. Researching and resolving issues related to claims and payments.
  17. Processing paper claims, including secondary insurance as required.
  18. Preparing and sending patient statements.
  19. Participating in ongoing educational activities to stay informed on industry updates.
  20. Maintaining confidentiality and adhering to all HIPAA regulations.
  21. Performing additional duties as assigned.

Qualifications:

  1. High school diploma or equivalent; an Associate degree is preferred.
  2. Three to five years of experience in medical billing practices, including knowledge of CPT/ICD codes and medical terminology.
  3. Strong organizational skills and attention to detail to manage multiple tasks effectively.
  4. Excellent written and verbal communication skills.
  5. Proficient numerical and analytical skills.
  6. Ability to communicate effectively with patients and staff.
  7. Capability to build and maintain professional relationships.
  8. Ability to work independently and collaboratively within a team.
  9. Familiarity with clinic policies and procedures.
  10. Understanding of healthcare insurance claim practices and compliance.
  11. Proficient in computer systems and applications, particularly Microsoft Excel.
  12. Commitment to maintaining confidentiality regarding patient records.
  13. Bi-lingual in Spanish/English is preferred.
