Summary

Provide essential assistance to facilitate the daily functions of the department.

Key Responsibilities
  • Conducts proficient typing tasks.
  • Manages a multi-line phone system, directing calls to the appropriate personnel with professionalism.
  • Welcomes visitors and offers general information courteously.
  • Informs relevant staff of an individual's arrival and any unusual circumstances.
  • Handles payments, including receiving, posting, and issuing receipts.
  • Balances cash drawer against the receipt report.
  • Ensures the security of the cashier area and funds.
  • Completes necessary procedures for the entry of new case files.
  • Records negative drug test results in the appropriate system.
  • Assists with indirect cases by scanning and shredding documents to maintain confidentiality, and manages incoming faxes.
  • Updates and maintains offender files and assignments.
  • Processes referrals for counseling and assigns offenders to available programs.
  • Collects samples and sends them to designated testing laboratories.
  • Demonstrates flexibility in work schedule to align with departmental hours.
  • Collaborates effectively and professionally with colleagues.
  • Adheres to departmental policies and regulations.
  • Performs additional duties as assigned by the supervisor.
Position Requirements

Must possess a high school diploma or GED. A valid Texas driver's license and liability automobile insurance are required. Must have a reachable telephone number and access to reliable transportation. A criminal history check will be conducted.

Required Skills and Abilities:
Effective communication skills, both verbal and written, are essential. Proficiency in operating a personal computer and calculator, along with a strong command of Microsoft Word, is required. The ability to type at least 45 words per minute is necessary. Candidates must be able to read and comprehend instructions, analyze data, and work independently and efficiently.

Physical and Environmental Requirements:
Ability to occasionally stand, walk, kneel, and bend during shifts; reach, grip, and use fine motor skills; push and pull objects; occasionally lift and carry up to 20 pounds; and maintain visual acuity and depth perception. The work environment is primarily indoors, in an office setting, with a moderate noise level.
