Position Overview:

The Fuel Accounting Associate is tasked with ensuring the accuracy of fuel delivery records by reconciling fuel bill of ladings with the fuel deliveries recorded by various stations. This role involves addressing any discrepancies in fuel deliveries through the utilization of systems such as Titan, PDI, and Vendor/Carrier Portals. Additionally, the associate will be responsible for verifying vendor fuel invoices against confirmed bill of ladings and resolving any pricing inconsistencies in collaboration with the supply and fuel distribution management team.

Key Responsibilities:
  • Reconcile fuel deliveries recorded by stations with bill of ladings received from fuel terminals.
  • Verify confirmed bill of ladings against vendor fuel invoices.
  • Engage with carriers and vendors to resolve discrepancies between deliveries, bill of ladings, and invoices.
  • Collect missing documentation from stations and manually input any missing delivery, bill of lading, or fuel invoice data into the system.
  • Coordinate with vendors to obtain missing invoices for received deliveries.
  • Collaborate with the supply and fuel distribution manager to address cost discrepancies between system data and vendor invoices.
  • Work with vendors to process credits or rebills when vendor pricing is found to be incorrect.
  • Coordinate with the tax team to resolve any tax discrepancies between system records and vendor invoices.
  • Review fuel inventory levels at stations.
  • Investigate discrepancies in fuel inventory, including cross drops, missing deliveries, ATG issues, and incorrect fuel readings.
  • Collaborate with IT to address ATG issues to ensure accurate readings are recorded in the system.
  • Verify cross drops with the supply and fuel distribution team and coordinate with carriers for fuel transfer and resupply.
  • Work with retail accounting to obtain credit card reports for entering missing sales data.
  • Collaborate with store edit specialists to ensure missing sales are accurately reflected in both fuel and merchandising sales for the respective station.
  • Utilize the Titan system to obtain accurate fuel readings and manually correct any discrepancies in station paperwork.
  • Communicate directly with stations to resolve any issues, while also liaising with district and regional managers to ensure timely resolution.
Collaborative Relationships: The role requires effective collaboration with IT, the fuel distribution and supply teams, station personnel, ATG teams, the tax department, and store edit specialists to ensure all fuel-related issues are addressed promptly.

Qualifications:
Minimum Education: High School Diploma

Preferred Education: Bachelor’s degree in Accounting

Minimum Experience: 1 to 2 years of general office experience

Preferred Experience: 1 to 2 years of experience in Fuel Accounting

Licenses/Certifications: N/A

Soft Skills: Strong problem-solving and investigative abilities

Work Schedule: Monday to Friday, 40 hours per week

Driving Requirement: None, other than commuting to the office

Travel: Occasional travel for professional development opportunities

Physical Requirements: None

Additional Information: Ability to manage multiple tasks and meet deadlines is essential.
