Job Title: Administrative Specialist

Join the Smithsonian Astrophysical Observatory as an Administrative Specialist in the Atomic and Molecular Physics Division. This role is responsible for managing and administering all financial aspects of Division grant-funded research programs.

Key Responsibilities:
  • Coordinate all administrative matters for the SAO AMP division, including personnel, travel, procurement, purchasing, scheduling, proposal generation and submission, communication, meeting logistics, budget tracking, and grant administration.
  • Participate in the planning and preparing of research proposals for future external and internal funding for the AMP division.
  • Administer all grants and serve as Authorizing Officer, with the full delegation of approval authority for the AMP division.
  • Track division-wide finances and budget levels across all funding support to assist AMP division leadership with long-range administrative, cost and personnel plans.
  • Conduct monthly account reconciliation, verifying that salaries and other expenses are correctly allocated to the appropriate projects and resolving any issues and discrepancies.
Requirements:
  • Candidates must possess at least one year of specialized experience in similar positions at or above the grade (11) level.
  • OR Ph.D. or equivalent doctoral degree.
  • OR 3 full years of progressively higher-level graduate education leading to such a degree.
  • OR Combination of education and experience.
