Job Summary

Fenwick & West is seeking an experienced Office Services Supervisor to join our team. As a key member of our office operations team, you will be responsible for providing administrative support and ensuring the smooth day-to-day operation of our office.

Key Responsibilities
  • Operations Supervision
    • Manage and coordinate the day-to-day activities of the mailroom and copy center, ensuring efficient and effective handling of incoming mail, packages, and print/copy/scan projects.
    • Supervise the Receptionist & Catering team, providing exceptional customer service to internal and external clients.
    • Train, coach, and guide direct reporting staff on office procedures and policies, ensuring adherence to department standards.
    • Coordinate team workflow, projects, and services to facilitate efficiency during peak and non-peak times.
    • Provide backup support for the reception/catering and office services teams as needed.
    • Offer ongoing feedback and training to encourage growth and development.
  • Vendor Management
    • Research and vet potential vendors.
    • Manage existing vendor relationships, identifying needs or gaps in quality of services and products.
    • Ensure vendor contracts are up-to-date and pass downs are submitted for all on-site visits.
    • Process vendor invoices through our accounting system.
  • Facilities
    • Partner with the Office Administrator on various initiatives related to property management, repairs, and other office-wide projects.
    • Coordinate daily building and facilities-related issues, including access card issuance and programming, office maintenance, and office setup for new employees.
    • Be an active member of the office's Emergency Response Team.
  • IT
    • Provide end-user hardware and software support, escalating issues to the Service Desk as needed.
    • Prepare and issue replacement equipment to employees.
    • Program Cisco phones and ensure Webex Calling workspaces are assigned and maintained accurately.
    • Coordinate with the firm's AV team to meet in-office AV/VC support needs.
    • Serve as a point of escalation within the IT department for questions related to Facilities-specific tools, programs, and processes.
    Requirements
    • 2-3 years of experience in facilities/office services in a professional services firm.
    • Knowledge and experience using MS Office Suite (Excel, Outlook, Word, PowerPoint) and operating and maintaining copy/print machines.
    • Bachelor's degree preferred.
    Benefits and Compensation

Fenwick & West offers a comprehensive benefit program, including healthcare, life insurance, health savings accounts, flexible spending accounts, and wellbeing programs. The anticipated range for this position is $76,000 - $103,000, depending on qualifications and experience. A discretionary bonus may also be available based on performance.
