Hours: Per Departmental Needs - Full Time

Position Overview:

  • Manage accurate telephone communications and ensure timely distribution of messages to the relevant pathologist. Address direct inquiries from patients and physicians through various channels including telephone, fax, and mail. Responsible for pulling and sending slides, faxing reports, and delivering messages promptly. Assist with mail distribution and support other staff as needed.
Key Responsibilities:
  • Handle incoming calls and provide exemplary customer service to all callers.
  • Respond to written inquiries from patients and referring physician offices.
  • Independently address and resolve issues as they arise.
  • Ensure all requests are processed accurately and promptly, following up to confirm completion and communicating any challenges to relevant parties.
  • Facilitate the faxing and mailing of requested reports to referring physicians.
  • Deliver slides to in-house medical professionals.
  • Assist pathologists with special requests and needs.
  • Retrieve and prepare slides and reports as requested by physicians, including ordering recuts and special stains from the laboratory.
  • Review and manage reports and slides for external distribution, ensuring timely corrections and proper mailing.
  • Maintain organized records and generate necessary reports.
  • Distribute pathology reports through various channels including mail, fax, and electronic medical records.
  • Research pending cases and communicate updates to management.
  • Follow directives and perform additional tasks as assigned by supervisors and physicians.
  • Keep colleagues and management informed of pending tasks.
  • Provide backup support for special stain clerks and assist with slide filing and mail distribution.
  • Enter pathology codes accurately.
  • Adhere to Penn Medicine’s values, policies, and procedures in all duties performed.
  • Engage in other responsibilities as needed to support the unit, department, and health system.
Qualifications:

  • High School Diploma or GED with a minimum of 1 year of advanced clerical or secretarial experience in an office environment.
