Job Summary

We are seeking an experienced Administrative Support Specialist to join our team within the UI Stead Family Department of Pediatrics. The ideal candidate will provide exceptional administrative support for the Division of Pediatric Education, ensuring seamless program operations and contributing to the success of Medical Student Education.

About the Role

This is a full-time position that requires strong organizational skills, attention to detail, and excellent communication abilities. The successful candidate will be responsible for performing secretarial work, including composing routine correspondence, maintaining medical student records, and providing administrative support for the Clerkship Administrator.

The incumbent will also serve as personal secretary to the Clerkship Administrator and program, creating and editing documents, spreadsheets, and attending/set up student didactics. Additionally, they will assist in maintaining course websites in ICON for advanced student rotations, maintain student education information on the Pediatric SharePoint, track student, clerkship, and faculty evaluation completion, and report issues to the program administrator.

Responsibilities
  • Serves as personal secretary to the Clerkship Administrator and program.
  • Provides administrative support for the Division of Pediatric Education.
  • Maintains medical student records and performs secretarial work.
  • Assists in maintaining course websites in ICON for advanced student rotations.
  • Maintains student education information on the Pediatric SharePoint.
  • Tracks student, clerkship, and faculty evaluation completion.
Requirements

To be considered for this role, applicants must have any combination of related clerical office experience, related undergraduate education, and/or post-high school clerical training equivalent to two years of full-time employment, including the use of word processing.

Demonstrated experience related to healthcare or education program/project management is highly desirable. The successful candidate will possess excellent written and verbal communication and interpersonal skills, proficiency in computer software applications (MS Word, Excel, PowerPoint, and Outlook), and excellent organizational skills and attention to detail.

Salary

The estimated salary for this position is $45,000 - $60,000 per year, depending on qualifications and experience.
