About the Role

The State of Oklahoma is seeking a highly skilled Maintenance Management System Specialist to join our team. As a key member of our Capital Asset Management team, you will play a critical role in ensuring the efficient operation of our maintenance management system.

Key Responsibilities

  • Review, edit, and approve customer requests for maintenance services.
  • Assign work orders to the appropriate departments to ensure timely completion of maintenance tasks.
  • Provide technical system support to customers, including password resets and troubleshooting.
  • Create client workspaces and add new members to the technical system.
  • Facilitate training sessions with maintenance staff and external clients to ensure effective use of the maintenance management system.
  • Provide administrative support to the property and client teams, including data entry, reporting, and document processing.
  • Assist in creating reports and presenting materials to management to ensure data-driven decision making.
  • Develop and maintain standard work procedures for processing assignments and file management.
  • Perform database administration, abstraction, and related tasks to ensure data integrity and accuracy.
  • Maintain physical and digital records of leased properties and equipment.
  • Review and ensure data integrity in the maintenance management system.
  • Update and maintain monthly process improvement metrics display and associated electronic files.
  • Utilize logical site map layout concepts to provide easy access to equipment and resources.
  • Monitor equipment specification entries to ensure accuracy and completeness.
  • Ensure data on equipment transfers and changes are thorough and handled accordingly.
  • Ensure consistency and standardization of system applications.
  • Provide necessary training to all users to ensure effective use of the maintenance management system.
  • Compile accurate spare parts listings for asset records in the maintenance management system.
  • Maintain all inventory items within the maintenance management system for record keeping and part ordering.
  • Ensure OEM cross references and substitutes are recorded accordingly.
  • Assist with tracking progress of storeroom repair and return items.
  • Maintain updated tracking documents on high-value capital items requiring rebuild.
  • Create maintenance management system reports and submit them to management.
  • Add new users to the maintenance management system and create security profiles.
  • Prepare periodic KPI reports for maintenance management.

Requirements

  • High school diploma or equivalent required; background or understanding in maintenance, repair, or operations services environment, preferably in support of facilities.
  • 2 years previous work experience in a computerized maintenance management system or enterprise asset management system environment preferred.
