JOB SUMMARY

The Clinic Operations Supervisor oversees the daily functions of the spay/neuter facility. This role is crucial in meeting the clinic's objectives and managing support personnel to ensure smooth and effective clinic operations. The supervisor provides leadership and guidance to the team.

DUTIES & RESPONSIBILITIES

  1. Staff Management:
    • Oversees recruitment, hiring, and staff supervision.
    • Maintains comprehensive employee records.
    • Coordinates staff schedules and manages time-off requests.
    • Ensures accurate attendance tracking.
    • Provides continuous performance evaluations.
    • Guarantees proper training for all staff members.
    • Supervises clinic volunteers.
    • Schedules personnel to ensure adequate coverage.
  1. Operational Management:
    • Ensures adherence to policies and procedures, updating them as necessary.
    • Implements proper protocols for animal handling, disease prevention, and patient care.
    • Maintains compliance with all regulations and ensures the clinic is well-equipped.
    • Delivers exceptional customer service that is courteous and professional.
    • Addresses client complaints and concerns effectively.
    • Fills in for other roles as required.
    • Conducts meetings with staff to review procedures and discuss operational issues.
  1. Financial Management:
    • Recommends annual budget and manages resources within budgetary constraints.
    • Monitors clinic performance regarding finances and services, maintaining regular reports.
    • Promotes the clinic to expand the client base through outreach and partnerships.
    • Collaborates with the Communications and Development Departments on various materials.
    • Assists in securing ongoing funding through donor relations and sponsorships.
    • Manages accounts receivable to ensure timely payments.
    • Handles invoice submissions and approvals.
    • Regularly reviews inventory for proper spending and ordering.
    • Manages daily financial deposits.
    • Monitors financial statements and adjusts spending to stay within budget.
  1. Media Relations:
    • Assists in managing media inquiries as directed.
    • Oversees social media content related to the clinic.
    • Collaborates on promotional materials for marketing and fundraising efforts.
    • Actively advocates for spay/neuter initiatives and educates clients on responsible pet ownership.
    • Represents the clinic professionally in all interactions.
    • Participates in committees and special projects as assigned.

SKILLS & SPECIFICATIONS

This position requires the ability to manage multiple tasks in a fast-paced environment. Flexibility and adaptability are essential, as job responsibilities may vary. Effective communication with staff and clients is critical. The ideal candidate will demonstrate initiative and the ability to work independently. The Clinic Operations Supervisor must be capable of assessing clinic logistics and implementing solutions to improve efficiency.

EDUCATION, EXPERIENCE, KNOWLEDGE, SKILLS, ABILITIES

  1. Bachelor's degree.
  2. Experience in customer service.
  3. Experience with media and external stakeholders.
  4. Registered Veterinary Technician (RVT) or equivalent experience preferred.
  5. Minimum of 2 years in a veterinary clinical setting or animal shelter preferred.
  6. 2+ years of supervisory experience.
  7. Experience in budget management is a plus.
  8. Familiarity with spay/neuter protocols is advantageous.
  9. Proficient in Microsoft Word and Excel.

JOB REQUIREMENTS

  1. Ability to learn basic veterinary medical concepts.
  2. Professional communication with the public on a daily basis.

  1. Ability to work under pressure and manage stress effectively.
  2. Capacity to cope with challenging situations, including euthanasia.
  3. Ability to process information quickly and accurately.

WORK ENVIRONMENT

The environment of a high-quality, high-volume spay/neuter clinic can be fast-paced and demanding. The schedule may require flexibility, including evenings and weekends. The Clinic Operations Supervisor should be prepared for occasional disruptions and changes in schedule.
