Key Responsibilities:- Welcome clients promptly with a friendly and courteous attitude.
- Serve as a liaison between clients, providers, and staff.
- Manage phone communications, including taking messages, screening calls, and ensuring follow-up.
- Schedule and confirm client appointments, converting inquiries into booked consultations and services.
- Ensure the efficiency of the appointment schedule.
- Develop a foundational understanding of all services offered.
- Process payments, enter charges, and balance daily transactions.
- Oversee and maintain client loyalty programs.
- Sort and distribute daily mail and packages.
- Keep the reception and front desk areas clean, organized, and presentable.
- Monitor office supplies and maintain accurate inventory records.
- Update and manage client records and files.
- Handle document scanning, faxing, and copying.
- File documents accurately using alphabetical systems.
- Exhibit strong verbal and written communication skills.
- Assist with evening marketing events as required.
- Minimum of 5 years of experience in customer service; experience in a luxury spa or medical office is advantageous.
- Ability to interact professionally and courteously with colleagues, clients, and medical staff.
- Clear communication skills, both in person and over the phone, with the ability to build cooperative relationships.
- Strong critical thinking skills and adaptability in a dynamic environment.
- Excellent time management and organizational abilities.
- Customer-focused mindset.
- Proficient in multitasking and prioritizing tasks effectively.
- High school diploma or GED required.
