Job Overview

POSITION SUMMARY: Support the Catering & Events Director in organizing and executing various social and private events for members.

KEY RESPONSIBILITIES:

  • Foster relationships with members and guests to enhance awareness of the Club's banquet and event offerings. Conduct facility tours and provide recommendations for private events.
  • Collaborate with members to plan a variety of gatherings, including luncheons, meetings, weddings, and children's parties, ensuring all necessary information is gathered for effective planning.
  • Work alongside the Catering & Events Director and Executive Chef to establish pricing, menus, and other essential details for events.
  • Oversee the preparation of menus, place cards, and signage, while securing decorations, entertainment, and other special requests; confirm vendor fees and delivery schedules.
  • Inspect event setups and often be present to manage guest greetings and service.
  • Maintain comprehensive records of past and potential events; schedule follow-ups to assess the ongoing needs of prospective clients.
  • Create and distribute detailed Banquet Event Orders for each event, outlining menu and beverage requirements, timelines, and specific setup needs.
  • Review financial reports with the Catering & Events Director to ensure budget compliance and accuracy of sales forecasts.
  • Develop room diagrams for event layouts, including placement of banquet items and other details.
  • Promote and generate excitement for the Club's social activities.
  • Manage banquet billing processes and ensure timely payment for events.
  • Execute special projects as assigned by the Catering & Events Director or Assistant General Manager.

  • Possess clear and legible handwriting.
  • Knowledge of food and beverage is advantageous.

EXPERIENCE AND EDUCATION:

Prior experience in catering, sales, or event management, particularly in a private country club environment. Proficiency in event management software, point of sale systems, Microsoft Office, and basic graphic design tools is preferred. A college degree in Hospitality, Catering Sales, or a related field is advantageous. Strong communication skills, a pleasant demeanor, high integrity, and the ability to work collaboratively are essential. Availability to work Tuesday through Saturday, including some evenings and holidays, is required.

COMPENSATION: Base pay plus commissions and discretionary bonuses.
