Key Responsibilities:
  • Exhibit proficiency in orchestrating high-profile meetings and events involving senior executives.
  • Collaborate with clients to assess event requirements, including venue selection, physical arrangements, audio-visual needs, catering, and overall event support.
  • Act as the primary liaison for clients, ensuring prompt responses to all inquiries.
  • Consistently uphold exceptional service standards during events, surpassing client expectations and proactively addressing needs.
  • Oversee all operational aspects of the conference center, including scheduling, catering orders, and troubleshooting technical issues.
  • Gather feedback from stakeholders and attendees to inform ongoing improvement initiatives.
  • Complete assigned tasks and projects in a timely manner, adhering to established deadlines.
  • Engage in a culture of continuous enhancement and innovation by contributing to the development of best practices and new tools that enhance service delivery.
  • Build and maintain strong relationships with clients and event stakeholders.
  • Provide comprehensive administrative support for the conference center and off-site events, including preparing cost estimates, presentations, and responding to inquiries.
  • Coordinate effectively with vendors, facilities personnel, and other service providers to ensure seamless execution of events.
  • Follow established procedures for escalation and incident reporting.
  • Perform additional duties as required.
Qualifications:
  • Bachelor's degree or equivalent experience in event planning or management.
  • 1-3 years of experience in event coordination, project management, hospitality, or a related field.
  • Strong time management and communication skills, both verbal and written, with a professional demeanor.
  • Ability to manage multiple tasks in a dynamic environment.
  • Exceptional customer service skills and a genuine passion for hospitality.
  • Capability to engage with clients at all organizational levels, including executive leadership.
  • Willingness to travel as necessary.
  • Flexibility to work evenings and weekends as required.
  • Experience in budget management and adherence to financial constraints.
  • Demonstrated leadership abilities with a focus on managing competing priorities and achieving results.
  • Proven track record of initiative, integrity, and sound judgment.
  • Collaborative mindset with strong interpersonal skills.
  • Proficient in Microsoft Office Suite (Excel, Word, PowerPoint, Visio, and Outlook).
