Key Responsibilities:- Exhibit proficiency in orchestrating high-profile meetings and events involving senior executives.
- Collaborate with clients to assess event requirements, including venue selection, physical arrangements, audio-visual needs, catering, and overall event support.
- Act as the primary liaison for clients, ensuring prompt responses to all inquiries.
- Consistently uphold exceptional service standards during events, surpassing client expectations and proactively addressing needs.
- Oversee all operational aspects of the conference center, including scheduling, catering orders, and troubleshooting technical issues.
- Gather feedback from stakeholders and attendees to inform ongoing improvement initiatives.
- Complete assigned tasks and projects in a timely manner, adhering to established deadlines.
- Engage in a culture of continuous enhancement and innovation by contributing to the development of best practices and new tools that enhance service delivery.
- Build and maintain strong relationships with clients and event stakeholders.
- Provide comprehensive administrative support for the conference center and off-site events, including preparing cost estimates, presentations, and responding to inquiries.
- Coordinate effectively with vendors, facilities personnel, and other service providers to ensure seamless execution of events.
- Follow established procedures for escalation and incident reporting.
- Perform additional duties as required.
- Bachelor's degree or equivalent experience in event planning or management.
- 1-3 years of experience in event coordination, project management, hospitality, or a related field.
- Strong time management and communication skills, both verbal and written, with a professional demeanor.
- Ability to manage multiple tasks in a dynamic environment.
- Exceptional customer service skills and a genuine passion for hospitality.
- Capability to engage with clients at all organizational levels, including executive leadership.
- Willingness to travel as necessary.
- Flexibility to work evenings and weekends as required.
- Experience in budget management and adherence to financial constraints.
- Demonstrated leadership abilities with a focus on managing competing priorities and achieving results.
- Proven track record of initiative, integrity, and sound judgment.
- Collaborative mindset with strong interpersonal skills.
- Proficient in Microsoft Office Suite (Excel, Word, PowerPoint, Visio, and Outlook).
