Medical Records Coordinator

Amethyst Consulting & Treatment Solutions, PLLC is seeking a highly organized and detail-oriented Medical Records Specialist to join our team. As the gatekeeper of our office, this individual will be the first point of contact for clients and visitors, requiring excellent people skills and professional communication abilities.
The ideal candidate will possess a strong understanding of medical records management, including confidentiality and compliance regulations. They will be responsible for facilitating weekly consumer chart audits, completing and disseminating compliance reports, and creating QA/QI tools. Additionally, they will provide exceptional customer service, greet visitors, and maintain a clean and organized office environment.
We are looking for a motivated and flexible individual who can work independently with minimal supervision. The successful candidate will have excellent organizational, prioritization, and interpersonal communication skills, as well as the ability to work effectively in a culturally diverse environment.
Responsibilities
- Facilitate weekly consumer chart audits and distribute deficiency reports
- Complete and disseminate weekly compliance reports
- Create QA/QI tools, including spreadsheets and templates
- Provide exceptional customer service and greet visitors
- Maintain a clean and organized office environment
- Verify client payer information and schedule appointments
- Assure clients are called to confirm appointments
- Provide daily appointment schedules to clinical staff
- Register clients, update demographic information, and maintain accurate records
- Efficiently answer the telephone and route calls to appropriate personnel
- Contact clients to confirm appointments and notify them of delays or cancellations
- Assist clients with transportation needs and provide basic office support
- Complete correspondence, reports, and special projects with precision and in a timely manner
- Order and maintain records, track supplies, and plan meetings and conferences
- Transcribe meeting minutes and distribute to Human Resources
Requirements
- AA or BA degree
- Bi-lingual Spanish speaking is highly preferred
- Minimum 2+ years of medical record experience in a behavioral health or social services environment
- Minimum 2+ years of administrative experience in a behavioral health or social services environment
- 55+ wpm typing
- Advanced computer skills in Microsoft Word, Excel, and Google Docs/Sheets/Calendar
- ShareNote and Echo Vantage EHR systems experience is a plus
- Possess a basic knowledge of office equipment, including PCs, telephones, printers, and copiers
- Excellent telephone customer service skills and a positive first impression on clients and visitors
- Must possess a valid driver's license, a good driving record, and be insured
- Must adhere to the confidentiality policy
- Must become certified and remain current in infant, child, and adult CPR and First Aid
- Must provide documentation of immunity to measles, rubella, and/or become immunized with the recommended vaccine, including Hepatitis B
- Must test annually for TB
- Must successfully pass a pre-employment drug and alcohol screening test and be willing to submit to a criminal background check
