Job Summary

We are seeking an experienced Administrative Assistant II to join our team at the City of Rochester Hills, MI. The successful candidate will provide administrative support to the department and deliver exceptional customer service to the public.

Key Responsibilities
  • Provide first-line customer service to internal and external customers in a professional, courteous, and tactful manner.
  • Process incoming and outgoing departmental mail, compose routine correspondence, and proofread documents.
  • Enter, scan, update, and maintain information in spreadsheets, databases, and reports.
  • Create and maintain filing and record systems, provide retention of records as required, and assist with records requests.
  • Accept, review, and prepare land divisions for processing, develop letters of acceptance or denial, and update applicable databases.
  • Process property transfer affidavits, principle residence exemption, and warranty deeds, using state guidelines, laws, and assessing procedures.
  • Process payroll, blanket purchase order invoices, and purchases utilizing purchase cards, order supplies, and import daily/monthly building permit data into Assessing database.
  • Draw structural footprints utilizing electronic drawing software to transfer hand-drawn sketches to electronic format, perform data entry, and proofread.
  • Serve as backup secretary to the Board of Review, review state bulletins for procedural changes, and apply updated information to the Property Tax Exemption process.
  • Track sales within the City using various media and computer resources.
Requirements
  • Associates degree or two (2) years of college coursework in an administrative assistant or office management related program, and three (3) years of experience in progressively responsible administrative support positions, or
  • High School diploma or GED equivalent and eight (8) years of experience in progressively responsible administrative support positions.
  • Intermediate proficiency with office computers and related applications to perform word processing, and data entry for computer-assisted mass appraisal (CAMA) system.
Benefits
