Job Summary

We are seeking a highly organized and detail-oriented Estimating and Construction Assistant to join our team. The successful candidate will provide administrative support to our Estimating and Construction Operations team, ensuring efficient office operations and contributing to the success of our projects.

Key Responsibilities
  • Assist the VP of Construction and VP of Estimating with executive duties, including team correspondence, presentations, meeting arrangements, and scheduling.
  • Maintain and update Estimating and Construction area office supplies, reporting needs to the Office Manager.
  • Input and maintain data in various software systems, including BuildOps, MS Office, and Paylocity.
  • Develop and implement office procedures and systems to enhance efficiency and organization.
  • Assist with preparation and coordination of company events, meetings, and training sessions.
  • Support project managers with documentation, including contracts, change orders, project files, RFI's, material submittals, and schedules.
  • Coordinate with subcontractors and vendors to schedule meetings, manage documentation, and ensure timely delivery of materials and/or services.
  • Generate and distribute reports related to project status, financials, and administrative tasks.
  • Assist estimators with bid documentation, including bid forms, bid bonds, RFI's, and other bid documents.
  • Coordinate with subcontractors and vendors to ensure timely delivery of proposals and documentation.
  • Generate and distribute reports related to bid opportunities, bid results, and administrative tasks.
  • Serve as the first point of contact for the Estimating and Construction team, providing a professional and welcoming experience for clients and visitors.
  • Facilitate communications between clients, vendors, and internal teams to resolve issues and ensure smooth operations.
  • Identify opportunities for process improvement and operational efficiency, implementing best practices to enhance the overall performance of the estimating and construction operations.

  • Ability to take the initiative and have a proactive approach to solving problems with minimal supervision.
  • Enjoys a fast-paced and frequently changing environment, able to be responsive to multiple details and multiple tasks while minimizing errors.
  • Organized in the approach of work execution and handling multiple tasks effectively.
Qualifications
  • High School Diploma, GED, or equivalent.
  • Possession of a valid driver's license with a good record of driving.
Salary

$20-$22 per hour.
