Systems Information Specialist


The Systems Information Specialist (SIS) is an integral part of the Systems team, directly reporting to the Chief Administrative Officer.


Key Responsibilities:

Data Management

  • Maintains and updates the member database along with all related systems information as instructed.
  • Retrieves data from the member database upon request from staff and volunteers, ensuring timely and high-quality responses.
  • Processes all membership transactions efficiently, initiating communication with internal teams for clarification when necessary.
  • Organizes and keeps records of membership transactions and orders in an orderly manner.
  • Ensures compliance with the organization's information sharing policy when sharing member data with external vendors or upon member requests.
  • Conducts regular reporting duties, including daily transaction summaries.
  • Implements quality control measures to verify data accuracy and completeness.
  • Contacts relevant vendors for assistance with network or database issues as needed.
  • Acts as a database advocate, proactively collaborating with other departments to ensure timely and consistent data entry.
  • Creates and revises departmental database and software procedures as required.

Hardware & Software Support:

  • Leads Microsoft 365 initiatives for staff and volunteers by developing infrastructure, managing licenses, and providing training to enhance performance and efficiency.
  • Maintains an accurate inventory of all hardware resources, orders and installs new technology solutions, and disposes of equipment following best practices.
  • Serves as the primary contact for technology inquiries, escalating issues to vendors as necessary.
  • Conducts testing for new technology systems throughout the organization.
  • Coordinates with vendors regarding network, database, or software issues.
  • Acts as the main liaison for assigned vendors as directed by the Chief Administrative Officer.

Customer Service:

  • Delivers exceptional customer service to all internal and external stakeholders.
  • Assists members, staff, and volunteers with inquiries related to technology or website functionalities.
  • Collaborates with vendors on operational tasks, including hardware, software, and database ticket management.
  • Develops training materials and provides end-user training on technology systems and information security for staff and volunteers.
  • Engages in ongoing training relevant to the position and completes additional tasks as assigned by the Chief Administrative Officer or leadership team.

Education & Experience:

  • A four-year degree or a two-year degree accompanied by relevant experience in technology, information systems, or database management.

Technical Skills:

  • Prior experience with database management.
  • Familiarity with Office 365 administration.
  • Experience in database query and report writing is preferred.
  • Willingness to learn new software and solutions.

  • Excellent interpersonal abilities, with a positive and adaptable attitude.
  • Capability to work independently while remaining motivated and meeting deadlines.
  • Adept at managing multiple tasks and priorities.
  • Previous experience with a membership organization is preferred.
