POSITION SUMMARY: Under direct supervision, the individual is tasked with welcoming patients and assessing the purpose of their visit. Responsibilities include managing the check-in process, confirming eligibility and benefits for all insurance plans, generating referral documents, and entering data accurately. The role also involves addressing patient inquiries and overseeing the check-out process, which includes scheduling follow-up appointments and procedures conducted within the office.

PHYSICAL AND MENTAL DEMANDS: The position requires prolonged periods of standing, sitting, and working on a computer. The ability to manage stressors related to a technical work environment, patient care, and urgent situations is essential.

WORK ENVIRONMENT: This role is set in a fast-paced environment with a high volume of patient interactions. There may be opportunities for overtime, and the position requires rotation among front desk, phone, and filing responsibilities. Travel to various office locations may be necessary.

KEY RESPONSIBILITIES:
1. Greet all patients upon arrival and ascertain the purpose of their visit.
2. Provide new patients with necessary forms to establish their medical records.
3. Ensure all documents are complete with required fields and signatures.
4. Input new patient insurance details into the Ntierprise system.
5. Verify and scan patient identification and insurance cards, updating records as necessary.
6. Contact patients, insurance providers, and physician offices to confirm referral statuses for upcoming appointments.
7. Respond to calls from primary care physician offices regarding patient referrals.
8. Update patient records for all referrals received via various channels.
9. Collect payments for office visits and outstanding balances, providing receipts and posting transactions in the Ntierprise system.
10. Balance monetary transactions on a daily basis.
11. Schedule follow-up appointments and procedures.
12. Prepare appointment cards for patient use.
13. Facilitate physician callbacks and patient follow-ups.
14. Perform clerical tasks such as completing scripts for hospital testing and rescheduling appointments.
15. Assist with filing and telephone duties as time permits.
16. Maintain confidentiality of patient records and demonstrate accountability for personal development and skills enhancement.
17. Assist with office housekeeping duties as needed.

QUALIFICATIONS:

EDUCATION:
High school diploma or GED required.

EXPERIENCE:
Minimum of one year of experience in a professional office setting preferred. Customer service experience is advantageous. Proficiency in general clerical skills, basic computer knowledge, and typing speed of at least 30 words per minute is required. Strong communication and interpersonal skills are essential, along with self-motivation and organizational abilities. A focus on customer service is crucial.
