Administrative Support Specialist

Catholic Charities of the Archdiocese of Newark is a leading non-profit social service agency serving Bergen, Essex, Hudson, and Union counties.
We are seeking a Part-Time Administrative Assistant to join our Supportive Visitation Services program located in Union City, NJ.
Job Responsibilities:
- Attend work regularly according to designated schedules
- Manage and file program records
- Operate and coordinate the management information system
- Maintain accounting and budget records
- Perform clerical tasks such as filing and handling calls, coordinating communication between staff and clients
- Prepare payment requests for department expenses
- Process billing forms and assist staff with the billing process
- Perform secretarial duties as required
- Maintain inventory of office supplies
- Schedule appointments, confirm meetings, and maintain calendar
- Process incoming and outgoing mail/data
- Prepare budget information as requested and maintain record of expenditures
- Prepare time sheets for supervisory review
- Ensure confidentiality by securing confidential information and protecting against disclosure
- Monitor environment of care to ensure common areas remain neat and orderly
- Report safety concerns or hazards immediately upon observation
- Maintain sign-in/sign-out protocols for clients, visitors, vendors, and staff
- Perform additional duties as requested by supervisor
Requirements:
- A high school diploma preferred
- Ability to establish harmonious working relationships with clients, staff, and community contacts
- Good computer skills and knowledge of software programs
- Good communication and interpersonal skills
- Ability to integrate into team and be flexible
- Time management and organizational skills
- Knowledge of HIPAA regulations and ability to ensure confidentiality
Estimated Salary: $25-$35 per hour, based on title, job description, and location. We offer competitive pay and benefits to our employees.
