Summary
The Automotive Parts Specialist is responsible for retail sales of automotive components to customers, whether in-person, via the shop, or over the phone.
Key Responsibilities1. Assist customers in identifying necessary parts, recommend related items, promote special offers, and ensure they are informed about the complete range of products available.
2. Retrieve items from inventory. If a part is unavailable, check its availability and place an emergency order if the customer requests it.
3. Handle incoming calls, providing pricing information and other relevant details. Support outside sales representatives with their orders.
4. Prepare orders for daily shipment, delivery, or customer pickup.
5. Regularly review 'will call' and 'back order' files, returning items to vendors or restocking those that are not needed.
6. Reach out to assigned accounts via phone to solicit orders.
7. Assist service technicians in selecting parts necessary for ongoing repairs.
8. Open a repair order envelope for each new repair request.
9. Order parts that are not in stock after consulting with Shop Foremen to ensure they will be utilized upon arrival or that the customer will return for repairs.
10. Answer parts-related calls when the front counter is busy.
11. Ensure that parts can only be charged out when the Technician provides a duplicate copy of the repair order along with a parts requisition.
12. File the requisition copy in the corresponding repair order envelope.
13. Process returns for parts, ensuring the original invoice or its number is available for verification of purchase and pricing.
14. Obtain approval from the Parts Manager or Business Manager for any exceptions.
15. Ensure all charge back sales are signed by customers.
16. For tax-exempt sales, collect the customer's full name, address, ICC number, and signature.
17. Present the customer with the white copy of the invoice after removing the tear strip. For regular cash customers, record their cash account numbers for accurate tracking.
18. Notify the credit department if a credit card is declined. If they are unavailable, either decline the charge or release the credit hold according to dealership guidelines.
19. Collaborate with the Parts Manager to maintain a Lost Sale Tracking program.
Safety Compliance
Must adhere to all company safety policies and procedures, promptly reporting any accidents to a manager or supervisor.
