Job Summary:

The Urology Associate Representative will serve as the face of Urology Associates CO, providing exceptional patient care and administrative support to ensure a seamless experience for our patients. This role requires strong communication and organizational skills, with the ability to multitask and work effectively in a fast-paced environment.

Key Responsibilities:

  • Prepare patient charts and documents according to nurse direction.
  • Greet patients and provide a warm welcome, ensuring a positive first impression.
  • Ensure HIPAA regulations are followed at all times, maintaining confidentiality and security of patient information.
  • Accurately and efficiently enter demographic and insurance information, collecting co-pays and amounts due as necessary.
  • Schedule patients for follow-up appointments and recall appointments, ensuring timely and accurate communication.
  • Distribute patient education materials and test/lab order slips as required.
  • Provide patients with contact information for procedures/tests to be scheduled.
  • Review and respond to emails and other correspondence in a timely manner.
  • Assist physicians with locating information and providing support as needed.
  • Break down charts throughout the day, scanning and indexing new information.
  • Prepare charts for the next day, correcting usual providers as necessary.
  • Settle credit card machine and balance at the end of the day.
  • Complete closing duties, including locking money bags and preparing transport envelopes.
  • Straighten the front lobby as needed.
  • Train front desk staff on new procedures and provide support as needed.
  • Work cooperatively with colleagues to ensure daily completion of responsibilities.
  • Assist the manager with additional tasks as delegated.

Qualifications:

  • High school degree or equivalent required.
  • Computer skills and experience with scheduling and front office software preferred.
  • Strong organizational and communication skills, with the ability to multitask and work effectively in a fast-paced environment.
  • Phreesia, Veradigm (Allscripts) PM and EMR system experience preferred, but willingness to train is essential.

Physical Requirements:

  • Ability to push/pull, lift light objects less than 50 pounds.
  • Manual dexterity required for typing, writing, and performing other tasks.
  • Ability to sit for long periods, walk, and stand, including for extended periods.
  • Visual discrimination required for reading computer screens.
  • Able to hear normal sounds with some background noise.

Mental Requirements:

  • Able to process large amounts of information, apply problem-solving skills, and exercise good judgment.
  • Ability to multitask and work effectively in a fast-paced environment.

Travel Requirements:

  • Daily/weekly travel between office locations for assignments and/or meetings.
  • Occasional travel for meetings or conferences.
