Administrative Coordinator for Investment Management

Morgan, Lewis & Bockius LLP, a leading global law firm, is seeking a skilled Administrative Coordinator to support the Investment Management Practice Group. This role will provide a range of administrative, secretarial, and document processing support to the assigned Practice Group, emphasizing superior client service.

Maintaining an in-office presence is essential for delivering services through an integrated and collaborative work culture. The firm requires this role to work in the office three days per week, as scheduled by their manager, unless client demands or another accommodation approved by their practice group necessitate otherwise.

Key Responsibilities:

  • Utilize Task Delegation and Workflow Management software to receive, enter, and update assignments, and communicate status to supervisors through the software or directly.
  • Assist with word processing, editing, and proofreading correspondence, memorandums, reports, and other general communications.
  • Answer phones, take messages, schedule appointments, coordinate meetings, arrange audio and video conferences, reserve conference rooms, and set up necessary equipment.
  • Maintain attorney calendars, advise attorneys of appointments, update attorney address books, and InterAction entries.
  • Assist with time entry.
  • Process new business intake, related forms, and correspondence.
  • Process expense reports and invoices, arrange check requests, and monitor completion.
  • Arrange travel, prepare itineraries, maintain attorney travel and desk profiles.
  • Coordinate or assist with printing, scanning, copying, and sending documents.
  • Provide legal research, case support, and project assistance.
  • Perform other administrative duties as assigned.

Requirements:

  • Bachelor's degree and at least two years of administrative support experience, or an equivalent combination of education and experience.
  • Previous law firm experience is required.
  • Demonstrate proficiency in Microsoft Outlook, Word, Excel, PowerPoint, and Portable Document Format (PDF) software.
  • Ability to work autonomously while functioning effectively in a team environment.
  • Exhibit strategic thinking and initiative in handling assignments and projects.
  • Work productively and effectively with all personnel as part of a client service team.
  • Demonstrate excellent client communication skills.
  • Flexibility to work overtime is required.
