Anesthesia Services Coordinator

This position is responsible for the coordination of anesthesia services within the hospital and ambulatory settings. The successful candidate will work under the supervision of the Chief CRNA and provide additional support to maintain benchmark patient access throughout the service line. Primary responsibilities include ensuring patients receive friendly, efficient service, appointment availability and procedure scheduling when applicable, maintaining efficient flow of the overall department, and working with other supervisors, departments and service lines to achieve operational goals as defined by the service line leadership. The Anesthesia Services Coordinator will be responsible for gathering, receiving, and documenting necessary information from referral sources and insurance companies. Additionally, the position will ensure anesthesia charts have necessary documentation required for timely processing and billing. This role is responsible for the timely processing of department invoices related to costs associated with anesthesia staffing and office supplies. The Anesthesia Services Coordinator will communicate effectively (oral and written) to provide exceptional customer service. The Anesthesia Services Coordinator will recognize and demonstrate understanding of patient and family centered care.
Primary Job Responsibilities
- Ensure timely and efficient patient access.
- Responsible for ensuring patients receive benchmark customer service, identifying and making recommendations to the practice manager on the operational process of the front desk and clinical roles to achieve operational goals.
- Assist with the scheduling of patients for surgery and procedures in the hospital and ambulatory settings.
- Ensure that all anesthesia charts are completed with the necessary documentation needed to be sent for processing and billing.
- Work in conjunction with Chief CRNA and other clinical leadership to support the provider and clinical staff within scope of practice.
- Greet visitors, employees, patients, etc. and answer incoming phone calls professionally, courteously, and competently to ensure that needs are met.
- Coordinate, sort and distribute incoming and outgoing correspondence.
- Notify all applicable disciplines such as other surgeons, vendors of pending procedures.
- Responsible for daily calendar of provider(s).
- Provide high level administrative support to ensure that operations are maintained in an effective, up-to-date and accurate manner.
- Document employee interactions and resolve patient and staff issues.
- Oversee ordering and maintenance of office supplies for service line.
- Assist in the development and oversight of the office budget.
- Contact Chief CRNA and/or other clinical leadership as appropriate for special situations as they arise.
- Demonstrate knowledge of and supports hospital mission, vision, value statements, standards, policies and procedures, operating instructions, confidentiality statements, corporate compliance plan, customer service standards, and the code of ethical behavior.
- Perform other duties, activities and tasks as assigned.
Education
- Associate's degree is required or a high school graduate with equivalent applicable college coursework, seminars or work experience in management and supervision.
- Bachelor's degree is preferred in relevant field (Management, Healthcare Administration, etc.).
- Minimum one year medical or administrative office experience.
- Reception or Cross-Trained Medical Assisting duties required.
- Prior supervisory experience strongly preferred.
- Able to travel independently throughout all Memorial Healthcare facilities.
- Small motor skills required for operating modern computer, office, and telephone equipment as utilized by Memorial Healthcare (MHC).
- Sufficient strength and stability to perform passive, active or resistive exercises.
- Proficiency using modern office, computer and telephone equipment as used by Memorial Healthcare.
- Ability to perform manual therapy techniques and operate treatment/assessment equipment.
- Fine motor skills to apply taping, braces, etc.
- Ability to adapt and maintain focus in fast paced, quickly changing or stressful situations.
- Ability to read and interpret a variety of documents including, but not limited to policies, operating instructions, white papers, regulations, rules and laws.
- Ability to interpret assessment results, follow developed treatment plan, and evaluate patient's response to treatment.
- Able to see for the purpose of reading information received in formats, including but not limited to paper, computer, reports, bulletins, updates and manuals.
- Able to see and hear for work-related purposes.
- Ability to visually and auditory monitor treatment and patient's response to treatment.
- Ability to interact with co-workers, hospital staff, administration, patients, physicians, the public and all internal and external customers in a professional and effective, courteous and tactful manner, at all times, physically, verbally and in all written and electronic communication.
- Required to remain calm when adversity is encountered.
