Job Overview

The Administrative Assistant is responsible for delivering office support by establishing administrative systems, processes, and protocols to guarantee smooth and effective operations. This role necessitates a collaborative relationship with the Project Management, Operations, and Preconstruction/Estimating teams to fulfill administrative responsibilities as they emerge. The Administrative Assistant must exhibit flexibility and adaptability as a team player, alongside possessing excellent communication and client service abilities.

KEY RESPONSIBILITIES:

  • Provide administrative, secretarial, and clerical assistance.
  • Support monthly billing, change orders, proposals, and estimates.
  • Assist with legal documentation.
  • Onboard new craft employees utilizing necessary hiring documentation.
  • Process Personal Action Forms (PAF) for all changes related to craft employees.
  • Manage and maintain inventory of office supplies.
  • Assist in maintaining records of computer-related equipment and facilitate equipment transfers as required.
  • Order, monitor, and manage company mobile devices and tablets.
  • Collect and monitor approved vacation requests.
  • Perform additional duties as assigned.

SKILLS & ABILITIES:

  • Proficient in computer applications, particularly Microsoft Office Suite.
  • Familiarity with Vista, or the capability to learn and apply it within 30 days of employment.
  • Strong time management and organizational skills.
  • Ability to comprehend and execute instructions effectively.
  • Work effectively as part of a team.
  • Maintain a high degree of confidentiality.
  • Reliability and dependability.

MINIMUM REQUIREMENTS:

  • High school diploma or GED.
  • Two years of relevant industry experience.
