Job Overview
The Administrative Assistant is responsible for delivering office support by establishing administrative systems, processes, and protocols to guarantee smooth and effective operations. This role necessitates a collaborative relationship with the Project Management, Operations, and Preconstruction/Estimating teams to fulfill administrative responsibilities as they emerge. The Administrative Assistant must exhibit flexibility and adaptability as a team player, alongside possessing excellent communication and client service abilities.
KEY RESPONSIBILITIES:
- Provide administrative, secretarial, and clerical assistance.
- Support monthly billing, change orders, proposals, and estimates.
- Assist with legal documentation.
- Onboard new craft employees utilizing necessary hiring documentation.
- Process Personal Action Forms (PAF) for all changes related to craft employees.
- Manage and maintain inventory of office supplies.
- Assist in maintaining records of computer-related equipment and facilitate equipment transfers as required.
- Order, monitor, and manage company mobile devices and tablets.
- Collect and monitor approved vacation requests.
- Perform additional duties as assigned.
SKILLS & ABILITIES:
- Proficient in computer applications, particularly Microsoft Office Suite.
- Familiarity with Vista, or the capability to learn and apply it within 30 days of employment.
- Strong time management and organizational skills.
- Ability to comprehend and execute instructions effectively.
- Work effectively as part of a team.
- Maintain a high degree of confidentiality.
- Reliability and dependability.
MINIMUM REQUIREMENTS:
- High school diploma or GED.
- Two years of relevant industry experience.
