Key Responsibilities:

  1. Achieve first contact resolution by acquiring comprehensive knowledge of all client and partner processes to minimize call transfers.
  2. Address general inquiries related to account support, including equipment rentals, invoices, and payment details.
  3. Record the details of each call, including the purpose and resolution, ensuring clear documentation on the client profile as necessary.
  4. Utilize various electronic platforms such as web and chat applications to engage professionally with colleagues, clients, and partners.
  5. Process payments for equipment rentals, sales, and supplies efficiently.
  6. Assist with the setup, payment, and balance inquiries of postage accounts.
  7. Support clients and partners with technical inquiries regarding equipment/software setup, usage, troubleshooting, and exchanges.
  8. Ensure accurate and timely entry of orders for supplies and rental agreements.
  9. Provide shipping and tracking information upon request.
  10. Familiarize yourself with new promotions and marketing initiatives to encourage client participation through education.
  11. Participate in ongoing training sessions related to operational processes and technical product support.
  12. Adhere to the guidelines of all customer support tools and documentation.
  13. Investigate and resolve client complaints to promote retention and satisfaction.
  14. Perform various administrative tasks as required.
  15. Maintain knowledge of standard pricing, policies, and procedures.
  16. Offer feedback or suggestions to management for enhancing the client experience.
  17. Collaborate effectively within a team, providing assistance to colleagues as needed.
  18. Engage frequently with all departments, including finance, operations, and technical support regarding contracts and orders.

Qualifications:

A high school diploma or equivalent is required, along with a minimum of one year in a detail-oriented customer service role. Some college education is preferred.

  • Willingness to learn new processes and procedures.
  • Ability to manage multiple tasks simultaneously (phones, computer, web, chat, email).

Technical Skills:

To excel in this role, candidates should possess accurate and efficient alpha-numeric data entry skills and proficiency in Microsoft Word, Excel, and Windows-based applications. A strong ability to multitask across different operating systems, websites, chat services, and other electronic platforms is essential. Familiarity with Navision is advantageous.
