Job Summary

We are seeking a highly skilled Medical Receptionist to provide administrative support to our outpatient care team in Rhinebeck, NY.

Key Responsibilities:

  • Provide administrative support to the Nurse Manager, Doctors, and team members.
  • Answer and direct phone calls.
  • Organize and schedule meetings and appointments.
  • Maintain contact lists.
  • Produce and distribute correspondence, memos, letters, faxes, and forms.
  • Assist in the preparation of regularly scheduled reports.
  • Develop and maintain a filing system.
  • Order office supplies.
  • Perform clerical and office support duties, including:
    • Managing incoming phone calls by screening and/or directing calls to the appropriate party.
    • Filing and maintaining records.
    • Receiving, greeting, and directing guests and customers, in person or via telephone.
    • Managing multiple calendars, coordinating and scheduling meetings and conference calls within the department, interdepartmentally, and/or with external parties.
    • Preparing, editing, and keeping detailed logs of correspondence, reports, contracts, and presentations.
    • Utilizing technology, including specialized software as applicable, to maximize productivity.
    • Performing word processing, creating Excel spreadsheets, and PowerPoint presentations, and preparing reports.
    • Developing and maintaining electronic files as necessary.
    • Anticipating and preparing materials needed by the team for meetings, correspondence, appointments, etc., that may include privileged and confidential information.
    • Prioritizing and managing multiple projects simultaneously, soliciting, researching, and compiling supporting materials for projects, and following through on issues in a timely manner.

Requirements:

  • Medical administrative support experience.
  • Medical office experience.
  • Computer skills.
  • Patient service experience.
  • Office experience.
  • Clerical experience.
  • Front desk operations experience.
  • Knowledge of medical records management.
  • Proficiency in Microsoft Office applications.
  • Strong customer service skills.
  • Experience in outpatient settings.
  • Familiarity with Microsoft Excel and PowerPoint.
