Job Title: Project Coordinator

We are seeking a highly organized and detail-oriented Project Coordinator to join our team at Actalent. As a Project Coordinator, you will play a critical role in supporting our Construction Project Management Team, clients, general contractors, and key subcontractors.

Responsibilities:
  • Complete and distribute subcontracts, secure proper paperwork, and verify subcontractors are in good standing with vendor compliance before starting work.
  • Process and manage electronic copies of project-related documents, including contracts, subcontracts, purchase orders, change orders, RFIs, meeting minutes, and close-out documentation.
  • Provide support for the project team and ensure all documentation requested is received from subcontractors/suppliers for each ongoing project.
  • Document and track potential change orders; document approved change orders; file electronically and distribute to appropriate team members.
  • Secure and compile electronic close-out documents.
  • Handle accounting tasks of projects, including computer entry of invoices in accounting & job cost systems.
  • Sort, prioritize, and distribute incoming and outgoing materials.
  • Manage the setup of projects in appropriate software for daily reporting logs and building drawings.
  • Manage RFIs and other documents as the Project Manager requests.
  • Assist with soliciting pricing for change orders as required.
  • Assist with the permitting process as required.
Qualifications:
  • 2 years minimum of experience working as a coordinator/admin or any other related field.
  • 2 years of experience in a construction setting - commercial construction preferred.
  • Proven experience with RFIs, RFPs, RFQs, submittals, commercial projects, change orders, purchase orders, billing, meeting preparation, and working with general contractors.
  • Strong understanding of construction processes, safety regulations, and quality standards.
  • Strong problem-solving skills, with the ability to identify potential issues and implement effective solutions.
  • Excellent communication skills, with the ability to clearly communicate project details to clients, team members, and stakeholders.
  • Proficiency in Microsoft Office Suite and Construction Software's.
  • Ability to work well under pressure and meet tight deadlines.
