Job Summary

We are seeking a skilled Accounts Payable Specialist to join our team at Aston Carter. As a key member of our accounting department, you will be responsible for managing and analyzing large amounts of data for accuracy, establishing vendor and employee master file data in expense management systems, and processing vendor and supplier invoices in Basware/SAP and Ajera/Deltek.

Key Responsibilities
  • Route incoming correspondence and prepare invoices for processing
  • Manage and analyze large amounts of data for accuracy
  • Establish vendor and employee master file data in expense management systems
  • Process vendor and supplier invoices in Basware/SAP and Ajera/Deltek
  • Understand the relationship between general ledger accounts
  • Prepare account analysis by vendor and by account
  • Communicate with vendors, buyers, and other members of the organization to resolve problems
  • Reconcile credit card statements to the vendor ledger
  • Ensure project expenses are posted properly by phase and activity (WBS)
  • Send ad-hoc payments and assist in all areas of general accounting as needed
  • Resolve purchase orders, ensure credit is received for outstanding bills, and issue stop-payments or purchase order amendments
  • Communicate with creditors about the company's liabilities
  • Provide excellent customer service, ensuring quick and accurate communication
  • Work across departments on complex order resolution
  • Handle all AP audit requests, both internal and external
  • Utilize shared mailboxes and workflow queues
Requirements
  • Manual invoice processing experience with Deltek Ajera or any large ERP
  • Excel skills, including VLOOKUPs and Pivot Tables
  • Understanding of debits and credits, including US and Canada portfolio
  • Excellent communication and customer service skills
  • Problem-solving skills
