Key Responsibilities
  • Front Desk Operations
    • Provide a positive and legendary patient experience by serving as the initial point of contact for patients and visitors.
    • Timely registration of patient arrivals, validating demographic information, and collecting out-of-pocket payments.
    • Inform patients about delays and wait times, and follow up to ensure inquiries or complaints are satisfactorily resolved.
    • Answer patient inquiries, investigate complaints, and direct them to supervisors or other staff members as needed.
    • Obtain and validate photo identifications and insurance cards, scanning relevant documents into patients' charts electronically.
    • Provide consent, financial, and HIPAA compliance-related documents, explaining them thoroughly to patients as needed.
    • Utilize EHR software, hardware, and programs proficiently to manage patient information and coordinate services.
    • Scrutinize prescriptions and referrals for accuracy to ensure patients receive the appropriate and necessary exams.
    • Effectively coordinate with interdepartmental professionals to ensure patient satisfaction regarding appointment scheduling and admission/encounter.
    • Verify and dispense oral contrast and preparation instructions to patients scheduled for upcoming appointments.
    • Participate in medical office emergencies, summoning ambulances or EMS as needed, and assist other staff members as required.
    • Manage outgoing and incoming faxes through electronic and manual fax systems.
    • Maintain appropriate levels of administrative office supplies, including RAYUS brochures, cards, and sign-in sheets.
    • Contact referring physician offices to verify information and request necessary details for patient exams.
    • Organize and prioritize tasks to meet deadlines, ensuring efficient patient flow and maintaining a clean and organized reception area.
  • Medical Records Management
    • Ensure quality assurance of health records by verifying completeness, accuracy, and proper entry into computer systems.
    • Serve as the point of contact for medical records, providing positive legendary patient experiences.
    • Retrieve and release health information data/medical records in adherence to HIPAA and company policies and procedures.
    • Interact and work cooperatively with patients and team members of diverse backgrounds, ensuring inclusion.
    • Work as a liaison between healthcare providers and offices in a timely manner.
    • Utilize EHR software, hardware, and programs proficiently to manage patient information and coordinate services.
    • Organize and prioritize tasks to meet deadlines, ensuring efficient patient flow and maintaining a clean and organized reception area.
    • Clear and friendly patient education of diagnostic examinations and delivering instructions in adherence to company policy and procedures.
    • Professionally hold Stat/Urgent cases pending communication from referring healthcare provider instructions after services have been rendered for patients.
    • Proper use of phone and written etiquette when handling correspondence.
    • Alignment of company mission and embodiment of core values of RAYUS.
    • Adherence and compliance to company policies, procedures, operational objectives, and goals.
    • Maintain strict confidentiality of PHI in adherence to HIPAA regulations.
    • Maintain a clean and organized reception and patient waiting area.
  • Tech Support
    • Monitor all modality schedules.
    • Greet and escort patients to changing rooms, briefly explaining procedures.
    • Prep/changing room turnaround, performing proper sanitizing techniques.
    • Help technologists stay on time by having the next patient ready before the current patient is ready to get off the table.
    • Ensure all patient areas are stocked and organized in a neat and tidy manner.
    • Clean and stock patient prep rooms and restrooms.
    • Stock linen and empty laundry at the end of the shift.
    • Check with technologists, center supervisors, or center managers for additional duties as needed.
Requirements
  • High school diploma or equivalent required.
  • 1-2 years of experience in a healthcare or customer service setting preferred.
  • Excellent communication and interpersonal skills.
  • Ability to work in a fast-paced environment and prioritize tasks effectively.
  • Proficient in EHR software, hardware, and programs.
  • Strong attention to detail and ability to maintain confidentiality.
  • Alignment with company mission and core values.
