The Credit Management Specialist plays a crucial role in overseeing the financial interactions between the company and its clients, ensuring that all credit and invoicing processes are executed with precision. Additionally, the specialist will ensure compliance with all legal documentation related to customer accounts.
KEY RESPONSIBILITIES
- Evaluate and process customer credit applications efficiently.
- Conduct thorough credit assessments and authorize customer credit limits.
- Manage Notices to Owner and handle all related documentation.
- Oversee the processing of partial and final waivers for clients.
- Maintain accurate records in the system to ensure job balances and customer profiles are correct.
- Responsible for sending invoices, aging reports, account statements, and correspondence to clients.
- Coordinate necessary insurance, warranties, contracts, and tax documentation.
- Engage in proactive collection efforts, including handling credit card transactions and addressing non-sufficient funds.
- Address issues related to short payments, credits, back charges, and customer inquiries.
- Initiate legal proceedings with bonding companies, including filing liens and sending demand letters.
- Monitor accounts for final payments and project completion.
- Assess and propose payment plans, ensuring follow-up on arrangements.
- Request and manage final documentation and credits from the sales team.
- Provide clients with necessary information, such as invoices and waivers.
- Ensure accurate application of customer payments to respective jobs.
- Analyze processes to recommend improvements and develop strategic solutions for payment challenges.
- Collect and maintain customer sales tax certificates.
- Perform additional duties as assigned.
SKILLS, KNOWLEDGE & ABILITIES
- Understanding of relevant laws, codes, and regulations.
- Exceptional time management skills with the ability to meet deadlines under pressure.
- Experience in customer service within a financial services context.
- Effective communication skills across all levels of management and with vendors.
- Ability to prioritize tasks and manage multiple responsibilities effectively.
- Proficient in working collaboratively within a team environment.
- Strong computer skills, particularly in MS Office applications, including Excel.
- Capacity to learn and utilize relevant software proficiently.
- Solid foundational math skills.
- Analytical thinking and problem-solving capabilities.
- Strong decision-making abilities.
- Outstanding organizational skills.
EDUCATION/EXPERIENCE:
- Bachelor's degree in Finance or a related field, or equivalent experience.
- A minimum of five years of experience in managing customer credit.
- At least three years of experience in billing and collections related to pay applications.
- Familiarity with construction lien laws and their applications.
