Job Summary

We are seeking a highly organized and detail-oriented Office Administrator to provide administrative support to our external customers and staff. The successful candidate will be responsible for arranging meetings, managing correspondence, and assisting in planning and arranging events.

Key Responsibilities
  • Arrange meetings by scheduling appropriate meeting times, booking rooms, and planning
  • Manage correspondence by answering emails and sorting mail
  • Assist in planning and arranging events, including organizing catering
  • Handle expenses and billing cycles
  • Manage reception area and look after visitors
  • Answer phone calls and transfer them as necessary
  • Draft, format, and print relevant documents
  • Maintain stock lists and order office supplies as needed
  • Manage staff expense requests
  • Interact with Managers and carry out their requests
  • Create agendas and take meeting notes
  • Assist in purchase orders and invoicing
  • Maintain accurate records for employee holiday requests
  • Manage outgoing post and record data on special deliveries
  • Photocopy and file appropriate documents as needed
Requirements
  • Prior office admin experience preferred

  • Must possess excellent interpersonal, clear verbal and written communication. Fluency in English required.
  • Must have demonstrated time management skills and be able to meet deadlines in a fast-paced multi-task environment with minimal supervision.
  • Must have strong organizational skills and be able to prioritize work to meet deadlines.
  • Ability to maintain a calm demeanor in a stressful environment with ability to adapt positively to changes in the work setting with ease
  • Must be able to troubleshoot and execute other job functions with high attention to detail
  • Strong computer skills will be required for success in this position. Proficient in full Microsoft Office suite (Outlook, Excel, Word, Share Point, and a firm grasp of common computer productivity tools and equipment.

Physical Demands
  • Must be able to remain in a stationary position for extended periods of time.
  • The employee may occasionally lift and/or move up to 20 pounds.
  • The position requires the ability to see clearly (with or without the aid of glasses or contact lenses) during responsibilities on and off a computer.
  • Must be able to communicate effectively by listening and in both written and verbal forms.
Travel Requirements
  • Occasional local travel may be required to on-site systems and facilities
  • Driver's license preferred.
Required Education and Experience
  • High school diploma or equivalent education, Bachelors preferred
  • 2 or more years' office admin experience
  • Proficient in Microsoft Outlook, Word and Excel + MAC OS based environment
