Job Summary

The Staffing Assistant will be responsible for coordinating the allocation of patient care resources across various campuses within the Franciscan Missionaries of Our Lady Health System. This role requires a deep understanding of organizational policies, procedures, and unit-specific needs to ensure efficient and effective resource placement.

Key Responsibilities

  • Resource Scheduling and Reassignment
    • Proactively schedule and reassign staff to match the current needs of patient care units, utilizing knowledge of hospital, nursing, and Central Staffing Office policies and procedures.
  • Communication and Collaboration
    • Communicate regularly with unit-based leadership and staffing colleagues to discuss resource needs, opportunities for colleague reassignment, and admission capacity.
    • Communicate directly with patient care colleagues to increase their availability and flexibility to meet the needs of patient care units.
  • Reporting and Data Analysis
    • Enter accurate scheduling, attendance, and timekeeping information into appropriate scheduling software packages.
    • Run reports from different programs to provide an accurate picture of current resource assignments.
  • Training and Development
    • Assist in the orientation and training of new Central Staffing Clerks.
  • Quality Improvement
    • Recommend changes in staffing policies to promote efficient and effective resource allocation.
    • Report any identified or unresolved problems to Central Staffing Office leadership for additional follow-up.

Requirements

  • Education and Experience
    • High school diploma or equivalent combination of education and experience.
    • Additional formal clerical and computer training desirable.
  • Skills and Qualifications
    • Familiarity with staffing procedures, usually gained through two or more years of staffing experience.
    • Strong attention to detail.
    • Proficient with at least one word processing package and one spreadsheet package.
    • Telephone skills and ability to operate office equipment.
    • Ability to exercise independent judgment to set work priorities.
    • Organizational skills to prioritize multiple tasks and adapt quickly to changes and interruptions.
    • Interpersonal skills to effectively communicate with a wide range of staff.
