Position Overview
The Customer Service Administrative Assistant is vital to our organization, executing various administrative tasks that support the Customer Service department. This role involves providing comprehensive administrative assistance, including data entry, document management, and general office support.
Key Responsibilities
- Utilize templates to manage routine email and correspondence responses.
- Conduct outbound calls to clients regarding their inquiries.
- Organize and maintain all documents related to Customer Service communications.
- Facilitate the distribution of loan documents to relevant parties.
- Handle incoming and outgoing mail efficiently.
- Update customer information in the system as necessary.
- Deliver courteous and responsive service to team members and other departments.
- Assist with administrative tasks such as processing returned mail and managing outbound correspondence.
- Support CalHFA non-occupancy functions, including certified mail documentation and status tracking.
- Create daily activity reports and maintain spreadsheets.
- Provide backup reception duties as required, including managing multi-line phone systems and scheduling meetings.
- Perform additional tasks as assigned.
Qualifications
A high school diploma or equivalent is preferred, along with a minimum of one year of experience in an administrative support role within a financial services environment, ideally in mortgage processing.
The ideal candidate will be highly organized, detail-oriented, and capable of thriving in a fast-paced, deadline-driven setting. Proficiency in data entry and familiarity with Microsoft Word, Excel, and Outlook is essential. Experience with document retention software is a plus.
Work Environment
This position primarily involves sedentary work, with occasional walking or standing. The role requires frequent use of a computer keyboard and mouse, as well as the ability to interpret audio and visual information accurately.
