Job Overview

Natural Retreats is seeking a Vendor Relationship Specialist to enhance our centralized Guest Experience team. This team is dedicated to providing exceptional and personalized service to our guests from the initial inquiry through to post-departure and rebooking.

The Vendor Relationship Specialist will oversee vendor partnerships, ensuring effective communication and collaboration. Key responsibilities include negotiating contracts, guaranteeing timely service delivery, and working closely with internal teams to fulfill guest requirements. The role also involves monitoring vendor performance, addressing any arising issues, and continuously identifying ways to enhance guest experiences and drive revenue growth.

A successful candidate will be service-oriented, demonstrating honesty and empathy in all communications. They will understand the importance of self-care to maintain a positive and productive team environment.

Applicants must reside in specific states to be considered for this remote position.

COMPENSATION: $58,000 - $62,000 per year based on experience.

KEY RESPONSIBILITIES:

  • Facilitate business-to-business communication with guest experience vendors across all designated Natural Retreats destinations.
  • Track destination, company, and concierge booking and revenue objectives.
  • Collaborate with the Director of VIP Experience to ensure alignment of guest-facing content and service commitments.
  • Identify opportunities to generate additional revenue through the sale of ancillary products and services that enhance guest experiences.
  • Maintain a preferred vendor database of concierge services and local experiences as directed by the Director of VIP Experience.
  • Manage, approve, and process vendor invoices and service-related expenses as necessary.
  • Oversee internal communications regarding vendor information and updates.
  • Develop and maintain vendor processes for internal use utilizing current software systems.
  • Ensure health and productivity for all concierge vendor relationships across relevant destinations.
  • Stay informed about all Natural Retreats brands, property inventory, location, amenities, and product offerings.
  • Analyze guest feedback and relevant work order history to identify areas for improvement.

EXPERIENCE & SKILLS:

REQUIRED:

  • 3+ years of experience in the travel or hospitality sector.
  • Prior experience in project management or process oversight.
  • Excellent written and verbal communication skills for engaging with multiple stakeholders.
  • Strong interpersonal skills with the ability to build relationships and manage conflicts effectively.
  • Proficient administrative and organizational skills, with the ability to manage time effectively in a fast-paced environment.
  • Capability to develop and initiate innovative ideas for vendor partnerships.
  • Experience in negotiating contracts with a focus on mutually beneficial outcomes.
  • Analytical and financial acumen to ensure the profitability and sustainability of vendor partnerships.
  • Familiarity with Microsoft Office Suite, including Excel, Word, PowerPoint, and Outlook.

DESIRED:

  • Experience in relationship management and vendor sourcing.
  • Background in the luxury vacation industry.
  • Familiarity with Salesforce or other CRM programs.

EXPECTED WORK HOURS:
This is a full-time position requiring flexibility in hours. The core business hours for the Guest Experience Team are Monday through Friday from 8:00 am to 9:00 pm EST, and Saturday and Sunday from 10:00 am to 7:00 pm EST. Seasonal demands may require work outside of these hours.
