Position: Lifestyle and Events Coordinator | BeLoved Hospice

Role Summary

This role operates under the guidance of the Vice President of Business Development and is tasked with the planning and execution of activities that cater to the diverse interests of hospice patients. The Lifestyle and Events Coordinator will design small group engagements aimed at enhancing the quality of life for hospice patients. Collaboration with the marketing team is essential to create and implement programs that accommodate varying levels of ability and interest, ensuring the holistic needs of patients are addressed.

General Duties:

  1. Exhibit a comprehensive understanding of the organization's mission, philosophy, and service scope.

  10. Work independently and collaboratively within the Interdisciplinary Team framework.
  11. Encourage a team-oriented approach through cooperation, mutual respect, flexibility, and dependability.
  12. Ensure compliance with all regulatory standards at the state, federal, and CHAP levels.
  13. Take responsibility for ongoing personal development and continuing education.
  14. Complete all assigned monthly and annual training as directed by the Governing Board, Director of Human Resources, and/or Director of Nursing.
  15. Create opportunities for new referrals and build referral relationships while representing the organization in the community.
  16. Support the philosophy, objectives, and mission of BeLoved Hospice.
  17. Stay updated with all mandatory agency requirements.

Specific Responsibilities:

  1. Possess working knowledge of software such as Canva and MS Office.
  2. Maintain relationships with current, past, and potential activity vendors and organizations.
  3. Assist the Bereavement Coordinator in organizing the annual Celebration of Life.
  4. Plan and coordinate programs for holidays and special occasions.
  5. Assist in creating promotional materials for each event in a timely manner.
  6. Oversee the orientation and management of volunteers, collaborating with the Hospice Volunteer Coordinator for recruitment and training.
  7. Arrange necessary training with other departments as required.
  8. Disseminate information regarding upcoming events and activities.
  9. Keep detailed records of volunteer information and assignments.
  10. Ensure clear communication of the organization's purpose and actions.
  11. Engage in community outreach and partner with organizations, universities, assisted living communities, and referral sources to promote volunteer opportunities and develop referral relationships.
  12. Interact with patients and staff in a hospitable manner.
  13. Understand HIPAA regulations and maintain confidentiality.
  14. Promote the Mission and Values of BeLoved Hospice in all responsibilities.
  15. Flexibly adjust schedule to ensure proper staffing for events, including working weekends and evenings as needed.
  16. Conduct data tracking and analysis as required.
  17. Participate in organizational record-keeping and documentation processes.
  18. Perform other duties as assigned or necessary for the organization.

Non-Essential Functions:

  1. Perform additional duties as required.
  2. Attendance is crucial for this role, particularly during scheduled events.
  3. This position does not allow for exclusive remote work.

HIPAA Compliance:

As the Lifestyle and Events Coordinator, you will be responsible for handling sensitive patient information, including health-related data, in accordance with the Health Insurance Portability and Accountability Act (HIPAA). This entails ensuring the confidentiality, integrity, and availability of protected health information (PHI) at all times. Unauthorized disclosure or breach of HIPAA regulations may lead to legal consequences for both the individual and the organization. It is essential to understand and adhere to HIPAA policies and procedures to protect employee privacy and maintain compliance.

Qualifications

Education:

  • High School Diploma or equivalent (required).
  • Some college education preferred.
  • Training or certification in senior services preferred.
  • Food Handlers Permit required.
  • OLCC certification preferred (Oregon Liquor and Cannabis Commission).

Experience:

  • 3-5 years of experience in event coordination required.
  • 3-5 years of experience working with older adults in a long-term care facility or CCRC preferred.
  • 2 or more years of experience in volunteer outreach and programming preferred.
  • 2-3 years of customer service experience preferred.
  • Ability to self-direct daily tasks.
