Position: Lifestyle and Events Coordinator | BeLoved Hospice

Role Summary

This role operates under the guidance of the Vice President of Business Development and is tasked with the creation and management of activities that cater to the diverse interests of hospice patients. The Lifestyle and Events Coordinator will organize small group engagements aimed at enhancing the quality of life for hospice patients. Collaboration with the marketing team is essential to design and execute a program that accommodates varying abilities and preferences, ensuring that the needs and wishes of patients are fulfilled across multiple dimensions of their experience.

General Duties:

  1. Exhibit a comprehensive understanding of the organization's mission, philosophy, and service scope.

  10. Work independently and collaboratively within the Interdisciplinary Team framework.
  11. Encourage a team-oriented approach through cooperation, mutual respect, flexibility, and dependability.
  12. Ensure compliance with all regulatory standards set by State, Federal, and CHAP.
  13. Take responsibility for ongoing personal development and continuing education.
  14. Complete required monthly and annual training as designated by the Governing Board, Director of Human Resources, and/or Director of Nursing.
  15. Create opportunities for new referrals and develop referral relationships while representing the organization in the community.
  16. Support the philosophy, objectives, and mission of BeLoved Hospice.
  17. Stay updated with all mandatory agency requirements.

Specific Responsibilities:

  1. Possess working knowledge of tools such as Canva and MS Office.
  2. Maintain relationships with current, past, and potential activity vendors and organizations.
  3. Assist the Bereavement Coordinator in executing the annual Celebration of Life.
  4. Plan and coordinate programs for holidays and special occasions.
  5. Help create promotional materials for each event in a timely manner.
  6. Oversee the orientation and management of volunteers, collaborating with the Hospice Volunteer Coordinator for recruitment and training.
  7. Arrange necessary training with other departments as required.
  8. Disseminate information regarding upcoming events and activities.
  9. Maintain detailed records of volunteer information and assignments.
  10. Ensure clear communication of the organization's purpose and actions.
  11. Assist with community outreach and partner with organizations, universities, assisted living communities, and referral sources to promote volunteer opportunities and develop referral relationships.
  12. Engage with patients' staff in a hospitable manner.
  13. Understand HIPAA regulations and maintain confidentiality.
  14. Promote the Mission and Values of BeLoved Hospice in all responsibilities.
  15. Flexibly adjust schedule to ensure adequate staffing for events, including weekends and evenings as necessary.
  16. Conduct data tracking and analysis as required.
  17. Participate in organizational record-keeping and documentation processes.
  18. Perform other duties as assigned or necessary within overlapping roles and responsibilities.

Non-Essential Functions:

  1. Perform additional duties as required.
  2. Attendance is critical in this role, and while not deemed essential, a commitment to being present for scheduled events is expected.
  3. This position does not allow for exclusive remote work.

HIPAA Compliance:

As the Lifestyle and Events Coordinator, handling sensitive patient information, including health-related data, in accordance with the Health Insurance Portability and Accountability Act (HIPAA) is mandatory. This includes ensuring the confidentiality, integrity, and availability of protected health information (PHI) at all times. Any unauthorized disclosure or breach of HIPAA regulations may result in legal consequences for both the individual and the organization. It is crucial to understand and adhere to HIPAA policies and procedures to protect employee privacy and maintain compliance.

Qualifications:

Education:

  • High School Diploma or equivalent (required).
  • Some college education preferred.
  • Training or certification in senior services preferred.
  • Food Handlers Permit required.
  • OLCC certification preferred (Oregon Liquor and Cannabis Commission).

Experience:

  • 3-5 years of experience in event coordination required.
  • 3-5 years of experience working with older adults in a long-term care facility or CCRC preferred.
  • 2 or more years of experience in volunteer outreach and programming preferred.
  • 2-3 years of customer service experience preferred.
  • Ability to self-direct daily activities.

  • Public speaking skills for events, forums, and presentations to members and staff.

  • Ability to systematically identify and define problems, evaluate alternatives, and implement mindful and cost-effective solutions.
  • Attend in-services and training to enhance personal development in alignment with BeLoved Hospice's philosophy to promote the emotional, intellectual, physical, social, spiritual, and vocational wellness of each patient.
