Job Description

**Job Summary:**

Echelon Supply and Service is seeking an experienced Administrative Associate to support our Contract and Buy/Sell Sales team. The successful candidate will be responsible for ensuring the accuracy and management of all order entry, as well as assisting with invoice discrepancies and vendor updates.

Key Responsibilities:

  • Order Management: Ensure that all materials are at an appropriately negotiated price and at approved quality standards in compliance with associated contract requirements.
  • Contract Administration: Assist the Contract and Buy/Sell Sales team with tracking of orders, confirmation of shipping notices, and other applicable documents to ensure appropriate records retention and scheduled on-time delivery.
  • Vendor Management: Assist with invoice discrepancies, including research, troubleshooting, communication with appropriate parties, and resolution to closure.
  • Inventory Management: Maintain inventory levels and understand purchase history.
  • Administrative Support: Interact with contract administrators and other internal departments to provide administrative support and ensure accuracy of paperwork.
  • Filing and Record-Keeping: File all necessary documents within the sales department in a timely manner.

Requirements:

  • Education: Bachelor's Degree in Business Administration or related field preferred. Equivalent work experience will be considered.
  • Supply Chain Knowledge: Understanding of supply chain basic principles, including purchasing, inventory, and logistics.
  • Communication Skills: Adept at communicating with vendors and internal business partners to establish and maintain credibility, both verbally and in writing.
  • Problem-Solving Skills: Ability to analyze, trouble shoot, and problem solve using research, analysis, logic, and lateral thinking.
  • Computer Skills: Proficiency in MS Office and ability to learn new systems with ease.
