Job Overview

Position Summary:

The Patient Check-In Coordinator plays a crucial role in enhancing patient experience by ensuring a smooth and efficient check-in process.

Key Responsibilities:

  • Welcome patients upon arrival and assist with the check-in process using digital tools.
  • Verify and update patient information, ensuring accuracy before entering data into the system.
  • Manage incoming calls, directing them to the appropriate departments.
  • Conduct insurance verification and manage referrals for patients under HMO plans, maintaining records of visits and benefits.
  • Collaborate with the billing department to ensure compliance with payment policies and timely collection of dues.
  • Maintain a thorough understanding of administrative procedures and billing practices.
  • Coordinate appointment scheduling, cancellations, and rescheduling in line with office protocols.
  • Process necessary documentation for insurance authorizations and follow up on approvals.
  • Inform patients of outstanding balances and facilitate payment collection.
  • Review the upcoming day's patient charts to confirm all information is accurate and complete.
  • Prepare encounter forms and distribute them according to the type of appointment.
  • Check the next day's schedules for insurance details and patient balances.
  • Work with billing representatives to address patient inquiries regarding account statuses.
  • Manage daily communications, including phone messages and referrals, to ensure continuity of care.
  • Engage in regular team meetings to discuss administrative updates.
  • Maintain organized files and records as required.
  • Ensure compliance with health and safety regulations in collaboration with the compliance officer.
  • Perform additional duties as needed.

Qualifications:

Essential Skills:

  • Strong verbal and written communication abilities.
  • Exceptional organizational skills with a keen eye for detail.
  • Capability to prioritize tasks effectively.
  • Ability to handle confidential information with discretion.
  • Proficiency in Microsoft Office Suite and related software.

Education and Experience:

  • Minimum of one year of experience in a medical office setting.
  • Familiarity with electronic medical records systems; experience with Athena is a plus.

Physical Requirements:

  • Ability to sit for extended periods while working on a computer.
  • Occasional lifting of items up to 15 pounds.
