We are seeking a skilled Medical Support Specialist to join our team in the Neuroscience Department at Brigham & Women's Hospital (BWH). This is a dynamic role that requires strong organizational and communication skills, as well as the ability to multitask and prioritize tasks effectively.

About the Job

The Medical Support Specialist will provide administrative support to a subset of providers, including scheduling new and follow-up appointments, working on and capturing insurance prior authorizations, and communicating with providers regarding prior authorization requirements.

  • Manage room assignments, scheduling, care coordination, prior authorizations, and in-basket management for a subset of providers.
  • Use decision trees to schedule follow-up appointments as requested by providers at check-out.
  • Provide direct administrative support to providers, including scheduling new and follow-up appointments, working on and capturing insurance prior authorizations, and communicating with providers regarding prior authorization requirements.
  • Cover EPIC in-basket pool for declined prior authorizations and cancellations from patients via patient portal.
Responsibilities

The Medical Support Specialist will be responsible for:

  • Managing special projects as instructed by the Practice Manager or the Practice Administrator.
  • Serving as a backup to administrative support when needed.
  • Performing other duties as assigned.
Requirements

To be successful in this role, you will need:

  • A high school diploma or GED required; post-high school education preferred.
  • Minimum one year of applicable work experience required.
  • Additional training in office systems preferred.
Skills and Qualifications

The ideal candidate will possess:

  • Knowledge of practice operations and standards.
  • Understanding of procedures including filing, copying, scanning, printing, and faxing.
  • Ability to use phone system, answer and screen calls, and give routine information.
  • Ability to interpret information, answer routine questions, and communicate in a professional manner.
  • Ability to manage work processes, sort and alphabetize, and manage multiple tasks effectively.
  • Ability to correspond and communicate with others clearly and effectively in writing.
  • Ability to type and enter data at an entry level.
  • Understanding of the appropriate use and importance of related forms.
  • Basic understanding and use of medical terminology.
  • Basic comprehension of insurance types and referral process.
  • Basic comprehension of registration and fiscal information.
  • Knowledgeable and compliant with all hospital, State, and Federal requirements, including policy and procedures with The Joint Commission and HIPAA.
Salary and Benefits

This full-time position comes with a competitive salary range of $45,000 - $65,000 per year, depending on experience. We also offer a comprehensive benefits package, including health, dental, and vision insurance, retirement savings plan, and paid time off.
