The Senior Department Accounting Assistant will serve as the key contact for Research Center administrators on day-to-day administrative operations. This position will provide direct supervision of purchasing/accounting function that handles research funds, check requests, travel documents, purchase orders, payroll and accounting documentation.
Key Responsibilities- Formulate grant and study budgets according to established norms, enter documentation, secure approvals and establish multidisciplinary research project control.
- Authorize expenses on grant studies and related departmental or project study accounts.
- Process documents such as check requests, travel documents, purchase orders, blanket orders, invoice statements and various types of documents handled through office.
- Record, maintain and process functions related to various equipment used in accounting processes.
- Process payroll and appointments for academic and staff personnel. Maintain departmental personnel files and assist with benefits administration.
- Assist supervisors with the hiring process including job requisitions, PHS entry and appointment screening.
- May supervise staff responsible for purchasing, payroll and/or accounting.
- Distribute and screen mail, routing to appropriate staff.
- Copies documents for distribution for signature.
- Reviews and approves documents such as expense reports, travel documents, purchase orders, blanket orders, invoices, spend authorizations, and other documents.
- Provide regular reporting of expenditures across the division.
- Maintain asset data and lead annual inventory process.
- Engage in special projects such as division financial planning initiatives and research symposia.
- Record and maintain process flows related to accounting functions.
This position is located in a normal office environment. The physical effort required is typically sitting at a desk or table with repetitive wrist, hand or finger movement.
Requirements- High school diploma or equivalent high school certification or combination of education and/or experience.
- Some college-level accounting coursework.
- Preferred qualifications include a Bachelor's degree in Accounting or Business.
