Position Overview:

The Retail Property Management Specialist is responsible for overseeing the operational efficiency and maintenance of retail properties. This role requires a proactive approach to property management, ensuring that all facilities are well-maintained and meet company standards.

Key Responsibilities:

  • Manage the maintenance and operational functions of assigned retail properties, coordinating with both in-house staff and external contractors to ensure optimal performance.
  • Prepare and submit bid proposals for external service contracts, ensuring compliance with company policies. Evaluate contractor performance and manage accounts payable processes.
  • Develop and maintain an annual operating budget, providing detailed financial reports and variance analyses to senior management.
  • Conduct regular inspections of properties to ensure compliance with safety and operational standards, addressing any issues promptly.
  • Review and analyze monthly rent rolls and sales reports, communicating with tenants to ensure accurate reporting.
  • Respond to property emergencies outside of regular business hours, ensuring timely resolution of issues to minimize property damage.
  • Collaborate with leasing and construction teams to facilitate tenant transitions and monitor improvement projects.
  • Administer lease agreements, ensuring accurate billing of rents and operating expenses.
  • Supervise the Site Maintenance Supervisor, providing guidance and support to enhance team performance.
  • Implement a Tenant Retention Program, fostering positive relationships with tenants through regular communication and engagement.
  • Manage eviction processes in coordination with legal and collections departments as necessary.
  • Oversee security measures to protect property assets and ensure compliance with safety regulations.
  • Administer risk management programs, ensuring all necessary insurance documentation is maintained.
  • Identify opportunities for process improvements and technology enhancements in property management operations.
  • Perform additional duties as assigned.

Qualifications:

  • 3-5 years of experience in commercial property management.
  • Bachelor's degree in a related field.
  • Preferred certifications include RPA (Real Property Administrator) and/or CPM (Certified Property Manager).
  • Real Estate License is a plus.

Physical Requirements:

  • Valid driver's license and reliable transportation for property visits.
  • Ability to conduct inspections of properties, including mechanical systems and roofs.
  • Willingness to navigate various property environments as needed.
