Job Title: Patient Service Representative

Overview:

The Patient Service Representative plays a crucial role in managing the outpatient registration process and scheduling services. This position is designed to support the front office team while ensuring a seamless experience for patients. Responsibilities include collecting demographic and insurance information, managing computerized registrations, and verifying insurance coverage with a focus on exceptional customer service.

Key Responsibilities:

  1. Provide assistance to fellow team members by handling phone inquiries, aiding customers, and performing cross-trained duties.
  2. Facilitate effective orientation and ongoing training for staff to meet performance expectations.
  3. Maintain daily scheduling records and proactively address any potential issues.
  4. Conduct patient pre-registration, registration, insurance verification, and scheduling in accordance with established standards.
  5. Welcome patients, assist them upon arrival, and notify appropriate staff of their presence.
  6. Execute administrative tasks such as answering calls, confirming appointments, managing insurance documentation, photocopying, typing, faxing, inventory management, and sorting mail as per organizational guidelines.
  7. Ensure timely setup, maintenance, and discharge of medical records in line with company policies.
  8. Process monthly patient satisfaction surveys to gather feedback and improve services.
  9. Deliver outstanding customer service to achieve departmental goals.
  10. Document insurance approvals and relevant information in the medical record and electronic systems following company protocols.
  11. Record and reconcile therapy charges as assigned.
  12. Participate in additional departmental or organizational initiatives as required.

Qualifications:

Education:

Required: High school diploma or equivalent.

Preferred: Associate's degree in medical administration.

Experience:

Preferred: Two years of experience in a medical office environment or familiarity with insurance benefits.

Skills:

Required: Proficiency in computer applications, particularly Microsoft Office, with the ability to learn new software.

Preferred: Strong communication and interpersonal skills, with experience working with diverse populations. Ability to work independently and collaboratively within a team. Proactive in identifying challenges and developing solutions. High level of service delivery with strong organizational skills and attention to detail.
