Job Overview

This role is pivotal in delivering exceptional administrative support to Financial Advisors, their clients, and other team members within the branch.

The successful candidate will possess strong communication skills across various platforms (phone, email, in-person, virtual) and demonstrate the ability to organize, manage, and track multiple detailed tasks and assignments amidst frequently changing priorities in a fast-paced environment.

Key Responsibilities


Act as the primary point of contact for a high volume of daily interactions, addressing inquiries, providing quotes, and scheduling meetings with both prospective and existing clients through various communication channels.

Assist in standardizing best practices for activities such as client onboarding, managing large client liquidity events, and monitoring private placement investments.

Engage in trading activities for both discretionary and non-discretionary products, including model maintenance and performance tracking.

Support the servicing of alternative investments and foreign accounts, ensuring proper setup and maintenance.

Participate in meetings alongside Financial Advisors and their clients as needed.

Oversee budgeting and tracking of Financial Advisor expenses.

Generate reports to enhance practice efficiencies, identify key performance metrics, and implement processes to improve team performance.

Onboard new clients, establish new client accounts, and conduct research on client and security information utilizing internal databases and technology.

Ensure that key client information and documentation comply with firm and industry standards, rules, and regulations.

Work both independently and collaboratively within a dynamic team to provide essential support to Financial Advisors and the branch office.

May assist in soliciting orders from clients under the direction of the Financial Advisor and handle unsolicited orders as directed.

Support Financial Advisors in marketing initiatives, including seminars and client-facing events.

Engage in ongoing training and professional development to stay current with firm and industry policies and procedures.

Act as a mentor and resource for junior team members, managing team workflow to enhance operational efficiencies.

Perform additional duties and responsibilities as assigned.

Qualifications


Knowledge, Skills, and Abilities:

  • Understanding of the company's structure, policies, mission, and strategies.
  • Familiarity with managed account platforms.
  • Proficient in general office practices and procedures.
  • Comprehensive knowledge of advanced investment concepts and industry regulations.
  • Proficient in trading terminology.

Skills:

  • Experience with Client Relationship Management (CRM) software or similar tools.
  • Proficient in goal planning software and Excel for reporting.
  • Strong communication skills across various client interaction platforms.

Abilities:

  • Operate standard office equipment and utilize software applications for correspondence and reporting.
  • Analyze and research account information effectively.
  • Manage multiple tasks with shifting priorities in a fast-paced environment.
  • Proactively follow up on tasks to ensure completion and resolve issues.
  • Maintain composure in stressful situations while delivering high-quality customer service.
  • Analyze problems and develop solutions efficiently.

Education and Experience:

High School Diploma or equivalent with five (5) years of experience in the financial services industry. Alternatively, an equivalent combination of experience, education, and/or training may be considered.

Licenses/Certifications:

  • Securities Industry Essentials (SIE) required unless exempt.
  • Series 7 required.
  • Series 63, 65, and/or 66 as mandated by state regulations.
  • Ability to obtain additional securities and advisory state registrations as required.
