**Job Overview**

We are seeking a highly skilled Administrative Assistant and Project Coordinator to join our team at the Commonwealth of Virginia. As a key member of our Risk, Safety, & Resilience department, you will provide senior-level administrative support to our Vice President and Operational Risk Management team.

**Job Responsibilities**

You will be responsible for coordinating projects, managing calendars, performing research, preparing reports, communications, and documentation. Additionally, you will provide general support to our department, including purchasing and serving as the telecom coordinator.

**Key Responsibilities Include:**

  • Communication and Calendar Administration: Schedule group meetings or meetings with Unit Leaders/Vice Presidents, acknowledge and prioritize requests for appointments, and respond to inquiries from internal and external parties.
  • Meeting Preparation, Coordination, and Attendance: Coordinate and provide support for various high-level meetings, track and follow up on action items, and prepare meeting agendas and materials.
  • Report Writing and Documentation: Prepare reports, documents, and correspondence of a confidential and non-confidential nature for the purpose of documenting activities, providing written reference, and/or conveying information to RSR leadership and committees.
  • Data Collection and Research: Collect data and conduct benchmarking research, both internal and external, to support university Enterprise Risk Management (ERM), including emerging risks, incidents, and other initiatives.
  • Email Administration: Serve as email administrator for the department.

**Required Qualifications**

To be successful in this role, you will need:

  • High school diploma or equivalent.
  • Extensive high-level administrative experience.
  • Project coordination experience.
  • Knowledge of computer applications, including Microsoft Office Suite (Excel, Word).
  • Demonstrated administrative and office management skills.
  • Database management and data entry experience.
  • Recordkeeping and organizational skills.
  • Ability to work effectively in a fast-paced environment with complex instructions, multiple and competing tasks, and with flexibility in an ever-evolving work day.
  • Ability to manage and prioritize projects and deadlines.
  • Ability to handle highly confidential information with discretion and professionalism.
  • Ability to work independently but also with groups.
  • Excellent interpersonal and communication skills (oral and writing).

**Salary Information**

The estimated salary for this position is $60,000 - $80,000 per year, depending on qualifications and experience.

This position is located in Fairfax, VA.
