Position Overview: The Event Services Department is looking for a dedicated Event Services Coordinator. Under the guidance of the Department Head, this role is essential in facilitating on-campus events by meticulously organizing and managing the logistics and details to ensure a memorable experience for all attendees.

Location: Main Campus, Phoenix, Arizona

Schedule: Monday to Friday, 8 AM to 5 PM, with flexibility required for evenings and weekends to support events.

Key Responsibilities:

  • Assist in the pre-planning of upcoming events as required.
  • Participate in event planning meetings to gather necessary information and details for specific events.
  • Oversee and execute all logistical arrangements, maintaining communication with relevant staff to ensure smooth coordination with other departments such as facilities and catering.
  • Set up event venues with appropriate displays, seating, audio-visual equipment, and catering services.
  • Ensure adequate inventory of supplies and schedule student workers for all event phases.
  • Monitor event activities to guarantee client satisfaction and manage clean-up and reset processes.
Qualifications:
  • Bachelor's degree preferred in a field related to communications, hospitality, or a similar discipline from an accredited institution.
  • Minimum of 1 year of experience in event planning or a related field.
  • Strong communication skills; proficiency in additional languages is a plus.
  • Proficient in Microsoft Office Suite.
  • Able to adapt to changing priorities and work effectively in a fast-paced environment.
  • Excellent time management and organizational skills.
  • Willingness to work flexible hours, including evenings and weekends, and to stay overnight on campus for certain events.
