Job Summary

We are seeking a highly skilled and detail-oriented Administrative Assistant III to join our team at the Texas Department of Aging & Disability Services. This is a senior-level clerical position that requires advanced administrative skills and a strong ability to work independently.

Key Responsibilities
  • Perform advanced clerical work in areas such as inventory control, statistics, employment, human resources, purchasing, and accounting.
  • Coordinate clerical activities, including compiling and tabulating data, checking documents for accuracy, and maintaining files.
  • Work under limited supervision with considerable latitude for the use of initiative and independent judgment.
  • Keep calendars, coordinate meetings, and prepare minutes.
  • Perform research related to the purchase of needed items.
  • Coordinate employee paperwork to support the smooth operation of the unit.
  • Perform other duties as assigned.
Essential Job Functions
  • Attend work on a regular basis and may be asked to work a specific shift schedule or, at times, even a rotating schedule, extended shift and/or overtime in accordance with agency leave policy.
  • Coordinate meetings and events, including scheduling, taking notes, preparing and distributing agendas and minutes.
  • Support program organization and documentation, including overseeing the receiving, storing, and issuing of files, materials, and supplies.
  • Support personnel activities, including providing support to administrative activities related to personnel issues.
  • Participate fully with other duties as assigned that will support the effectiveness of the program.
Requirements
  • Knowledge of office procedures, spelling, punctuation, grammar, and arithmetic.
  • Knowledge of business or program terminology, methods, and procedures.
  • Knowledge of warehousing procedures, state purchasing policies and procedures, and records administration and maintenance techniques and procedures.
  • Ability to prepare and maintain records, files, and reports.
  • Ability to communicate effectively and train others.

Working Conditions: This position requires the ability to work in a fast-paced environment with multiple priorities and deadlines. The successful candidate will be able to work independently with minimal supervision and have excellent organizational and time management skills.
