Job Summary

As an Office Manager, you will be responsible for providing administrative support to our Business Executive, Staff Officers, and Leads, ensuring the smooth operation of our daily activities.

Key Responsibilities
  • Task Coordination: Perform as primary action officer for tasks assigned, coordinating the task, ensuring all requirements are met and fully addressed, and ensuring task response is prepared for release prior to the suspense date and time.
  • Administrative Support: Assist the Business Executive, Staff Officers, and Leads in all duties related to Action Officer Team (AOT) and its subordinate offices.
  • Continuity Planning: Provide coordination support for Continuity of Operations (COOP), Business Continuity Planning (BCP), Space planning, and position management to ensure goals are attained.
  • Reporting and Analysis: Prepare special or one-time reports, summaries, or replies to inquiries relating to the mission, selecting relevant information from a variety of sources.
  • Staff Management: Assist the Business Executive, Staff Officers, and Leads with staff management and administration of daily activities.
  • Communication: Prepare Action Items and Notes commitments made by executives during meetings and arrange for Data Squads' implementation.
  • Correspondence: Review outgoing correspondence for executive's approval and alert authors to any conflict with the file or departure from policies or executive's viewpoints.
  • Information Gathering: Summarize the content of incoming materials, specially gathered information, or meetings to assist executives, coordinate new information with background office sources, and draw attention to important issues.
  • Research and Development: Review publications, agency regulations, and directives, and take action or refer those that are important to the Business Executive and his/her staff.
  • Training and Development: Advice administrative personnel in subordinate offices on new procedures and request information needed from the subordinate office(s) for periodic or special conferences, reports, inquiries, etc.
Requirements
  • Clearance: Hold an Active TS/SCI clearance, showcasing your commitment to confidentiality and security.
  • Education: Possess a Bachelor's degree in Business Management, or a related field, or at least 7 years of relevant experience in lieu of a Bachelor's.
  • Skills: Demonstrated experience of Microsoft Office Applications and the ability to independently develop material using these applications.
Desirable Qualifications
  • General Staff Officer Duties: Demonstrated experience and proficiency to perform general staff officer duties using general guidelines for desired product(s).
  • Research and Information Gathering: Demonstrated experience in gathering information to synthesize functional needs.
  • Intelligence Analysis: Demonstrated experience in Research/Information Gathering and the intelligence analysis and production process.
  • Department of Defense and Intelligence Community: Demonstrated experience and understanding of Department of Defense and the Intelligence Community practices, missions, and policies.
