Job Summary

We are seeking a highly organized and detail-oriented Administrative Support Specialist to join our team at SSI. This role will provide administrative support to our corporate facility, ensuring the smooth operation of our office and providing exceptional service to our employees and guests.

Key Responsibilities
  • Shipping and Receiving: Package and prepare shipping labels and shipments through various ground and express delivery companies.
  • Employee Mail Management: Maintain employee-owner mail recipient lists and mailbox locations.
  • Fleet Management: Coordinate schedule and reservations of company fleet vehicles for cleaning, maintenance, and project use.
  • Facilities Maintenance: Responsible for company fleet vehicles for cleaning, maintenance, and gas.
  • Conference Room Setup: Set up and break down conference rooms on a day-to-day basis.
  • New Employee Onboarding: Assist with the physical setup for a new employee's desk, ensuring lights, phone, and outlets are working and general office supplies are provided.
  • Employee Exit Process: Assist with employee exits, removing, logging, and packing desk items, ensuring all furniture is returned to like-new state for the next employee.
  • Communication and Coordination: Communicate with building maintenance contacts, office assistants, and building management on office needs and maintenance.
  • Equipment Repair: Repair and maintain miscellaneous office and desk equipment.
  • Construction Projects: Assist with construction projects on property, changes to floor plans, and office moves.
  • Badge and Photo Processing: Process employee badges and professional photographs, including editing and uploading into internal systems.
  • Front Desk Coverage: Provide front desk coverage for lunch breaks, including multi-line phones, greeting guests, visitor check-in/check-out, and routing of badge issues to security.
  • Event and Meeting Setup: Set up events and meetings, including beverage setup, table reconfiguration, outside vendor coordination, facilitation, attendance capturing, and assistance with audio-visual equipment.
  • Supply Management: Manage office supplies, including inventory, stocking in multiple locations, rotation of old product, and toner and kitchen supplies.
Requirements
  • Education: High School Diploma/GED required.
  • Experience: Office services experience in a corporate facility preferred.
  • License: Valid driver's license required.
