Client Relations Coordinator

Job Overview:

The primary responsibility is to manage incoming calls, providing information about our services, pricing, and availability to clients and prospective clients. It is essential to assist new clients in comprehending our service model and operational procedures during each interaction. Once a clear understanding is established, clients will be scheduled with detailed descriptions of the work required, the appropriate technician, and a specific date and time for service. This information will then be relayed to the technician in the field through our Dispatch application. Every effort will be made to support the technician in completing the assigned project from the office.

Key Responsibilities:

• Schedule all service appointments efficiently.

• Provide comprehensive details in the notes section to ensure the technician is well-informed about the tasks prior to the service date.

• Process incoming paperwork from the field promptly.

• Manage rescheduling requests as directed by field personnel.

• Regularly check voicemail for missed calls during busy periods.

• Ensure all phone calls are returned within the same business day.

• Maintain a standard 40-hour work week.

• Document suggestions for improving efficiency in your role.

• Maintain a digital directory of referral partners for quick access to solutions for various issues.

• Handle all office-to-client communications, including phone calls, correspondence, and follow-ups.

• Assist with various organizational tasks in the office, including filing, billing, accounts receivable, accounts payable, and other daily business needs.

• Address any issues related to the phone system promptly.

• Check and respond to emails daily.

Compensation: $20.00 per hour
