Position Overview: The Receptionist/Administrative Assistant at Dickinson Wright PLLC plays a crucial role in providing comprehensive administrative and clerical support under the guidance of the Office Administrator. This position is essential for maintaining effective communication with attorneys, staff, and clients while ensuring smooth operations at the reception area.

Key Responsibilities:

The essential functions of the Receptionist/Administrative Assistant include, but are not limited to:

  1. Manage incoming and outgoing calls using a multi-line telephone system, ensuring effective communication with attorneys and staff;
  2. Engage with clients and attorneys through email and phone correspondence;
  3. Welcome clients and visitors, ensuring compliance with Firm protocols and maintaining confidentiality;
  4. Sort and date incoming mail, ensuring timely delivery of outgoing correspondence;
  5. Assist with administrative tasks such as faxing, copying, and other requests as needed;
  6. Handle deliveries to the office, ensuring proper routing to recipients;
  7. Maintain records of packages for pick-up at the front desk;
  8. Coordinate the scheduling and use of conference rooms, including special arrangements for meals and refreshments;
  9. Ensure the reception area and lobby are tidy and welcoming;
  10. Facilitate maintenance requests to the landlord's representative;
  11. Support attorneys and staff by performing detailed administrative tasks;
  12. Open new client files, conduct conflict of interest checks, and maintain organized filing systems;
  13. Prepare and submit expense reports and payment requests for various reimbursements;
  14. Assist with overflow typing, filing, or photocopying as required.
Qualifications and Skills:

The ideal candidate for the Receptionist/Administrative Assistant position should possess:
  1. 1-2 years of relevant experience;
  2. Proficiency in Microsoft Office Suite;
  3. Strong organizational skills to manage multiple tasks effectively;
  4. Excellent communication skills to interact with a diverse group of clients and staff;
  5. Attention to detail and the ability to prioritize tasks under pressure;
  6. Capability to work independently and as part of a team;
  7. Flexibility to occasionally work beyond standard hours to fulfill job responsibilities.
Work Environment:

This position is situated in a typical law office setting, with minimal exposure to environmental factors.
